Job Title: Apprentice Office and Facilities Administrator

Function: HR

Location: Head Office, St Vincent Street, Glasgow - Office Based (Onsite 5 days per week)

Job Level: (Internal Reference Only) 1

Salary: Scottish Living Wage - £12.21 per hour.

Contract: Full Time / 12 Month Fixed Term Contract (apprenticeship) -Monday to Thursday, 08:30am - 5pm & Friday, 08:30 - 13:30 (35 hours p/w).

What the opportunity looks like:

As a Whyte & Mackay Apprentice, we will invest in your future by supporting you to gain a recognised qualification. You will progress through a Business Administration Apprenticeship over an 12 month program.

The Office and Facilities Administrator is responsible for providing reliable and professional administrative support to the Office Manager with focus on the general day to day running of the office. They will also be required to assist with general administrative support to Functional Teams withing the business (Marketing, HR, Communications & Finance).

  • Day to day assistance with the daily running of the office.
  • Responsible for switchboard and mail duties.
  • Provide general administrative support.
  • Liaising with SVP Security and Reception (booking in of visitors etc).
  • Responsible for daily deliveries, in and out (Couriers).
  • At times, assistance in the coordination of planning and organising meetings, events and workshops.
  • Provide assistance for sample requests when required.

Skills and experience that will help you be a success:

For this role we're looking for:

  • This apprenticeship opportunity is open to candidates aged 16-19, in line with government funding criteria for this programme.Applicants must meet the age criteria at the start of the apprenticeship to qualify for associated funding support.
  • Ability to develop strong relationships and work with multiple levels of staff.
  • Knowledge of and confidence in working with Microsoft Office particularly email, Wordand Excel.
  • Strong interpersonal skills and excellent verbal and written communication.
  • Good attention to detail.
  • Use initiative and have the ability to prioritise.
  • Must have the motivation to complete the 12 month apprentice programme.
  • Motivated to learn and develop skills.
