Job description:
  • Our Managing Director is spending more and more hours on operational and administrative tasks, time that could be better spent on clients and growth.

  • We're looking for a proactive, highly organised Agency Operations Manager who can take full ownership of:
    • Keeping the agency running smoothly day-to-day (managing team availability, project tools and internal processes)

    • Overseeing the production workflow (task scheduling and management, production coordination)

    • Internal admin (project reporting, knowledge management and light HR support)

  • This role will be a key position in the business - the glue that holds our team, projects, and processes together.

What you'll be responsible for:

Project workflow and team coordination

  • Attend client briefings and creative meetings (occasionally outside regular UK hours)

  • Manage project setup in Asana, Slack, Timely and Google Drive

  • Prepare briefs for freelancers and internal team members (we call ourselves 'Bundlers')

  • Coordinate with Bundlers to keep project workflows moving and project plans up-to-date

  • Manage internal reviews and support quality assurance

  • Share project updates and manage feedback/approvals with clients

  • Document learnings in Notion to help us continuously improve

Business operations and admin

  • Manage resource and capacity planning in Asana

  • Support finance admin by tracking project hours in Timely and generating project spend reports

  • Coordinate team meetings and availability

  • Support people management by helping onboard freelancers and new Bundlers

  • Own core business tools, including Asana, Slack, Timely, Google Drive, Notion and Reach 360 (our Learning Management System) to ensure they're well-organised and optimised for our team

  • Own knowledge management to keep internal and strategy documents organised in Notion

  • Manage software and tool subscriptions

  • Take on recurring admin tasks that free up the Managing Director's time

Process and workflow improvement

  • Identify bottlenecks in project workflows and internal operations, and improve how we work

  • Create clear, repeatable processes for both client projects and internal operations

  • Track and report key metrics (hours, budgets, project progress) to keep the team informed

  • Help shape smarter ways of working as we scale

What you bring to the team:
  • Operations or production coordination experience, ideally in a digital learning, creative, or digital agency environment

  • Strong organisational and operational skills, with the ability to manage multiple priorities simultaneously

  • Experience in tools like Asana, Slack, Google Suite, Notion and time-tracking software

  • Financial literacy to track budgets, hours, and simple reports (no need to be an accountant, just confident with numbers)

  • Keen attention to detail with a friendly, proactive approach

  • Excellent communication and coordination skills, especially with colleagues and freelancers

  • A passion for continuous improvement, streamlining processes, and keeping things running smoothly

  • Flexibility to occasionally join calls with clients and colleagues outside regular UK working hours
