Administrator - Safeguarding & Children Looked After - Band 3

Part time - 15 hours per week

We are looking for an Administrator to support the Safeguarding and Children Looked After Team within the Young People's Directorate.

Key responsibilities include providing high level administrative support to the Children and Young People Directorate, liaising with parents, carers, health and social care professionals, the Local Authority, the Care Coordination Centre and other partners throughout the CLA process from referral onward.

Specialist knowledge of the CLA process, reporting, data collection and use of the patient management system will be required.

Main duties of the job
  • Provide administrative support for the Children Looked After (CLA) and Safeguarding teams including child protection, fostering, adoption and child deaths.
  • Maintain databases and information records relating to CLA, child protection, adoption, fostering and child death.
  • Liaise with Bromley Children's Social Care on new admissions and placement changes.
  • Use EMIS to add referrals, update patient records, add alerts and complete templates.
  • Organise clinics and contact parents/carers to arrange appointments, send appointment letters, and distribute reports.
  • Coordinate with local authorities and health organisations regarding children placed outside or into Bromley.
  • Compile data for CLA datasets used in NHS England and ICB submissions.
  • Monitor the Single Point of Contact (SPOC) secure email inbox and action related work.
  • Support safeguarding administrators to cover planned absences, annual leave and staff sickness.
Person specification Qualifications
  • Educated to GCSE Level or equivalent.
  • Strong knowledge of MS Office - Excel.
  • Experience with EMIS or equivalent clinical systems.
  • Experience with EMIS population reporting.
  • Ability to use information systems to collate and produce statistical data and reports.
Experience
  • Previous experience in an administrative role alongside clinicians within a healthcare setting.
  • Experience working independently, managing priorities and escalating appropriately.
  • Experience managing confidential and sensitive information.
  • Experience working within the NHS.
  • Experience with key performance indicators (KPIs).
Specific Skills
  • Strong written and verbal English.
  • Attention to detail with the ability to input data accurately under tight timelines.
  • Ability to prioritise daily workload and respond to ad hoc requests in a busy environment.
  • Knowledge of current local pathways.

  • Good communication skills and the ability to deal tactfully with people at all levels.
  • Ability to work independently and as part of a wider team.

Salary is determined by NHS experience and current banding/pay point. External applicants will begin at the entry point of the salary scale in line with NHS terms and conditions.
