Job Description

Runnymede College is a private non-denominational British school in Madrid offering a British education to boys and girls of all nationalities from the age of two to eighteen. The education offered follows the British National Curriculum.


Founded as a private school in September 1967, the primary school was inaugurated in 1987, and since 1990, the whole School has been located in La Moraleja, in the north of Madrid. The School has been restructured and divided into Pre-Prep, Prep (Years 4 to 8) and Senior School (Years 9 to 13).


Academic levels are high at Runnymede College. In June 2024, 64% of our students achieved A-A at A level, with 98% of grades being A -C. This is particularly impressive when compared with the 49% of A -A grades achieved at independent (private) schools in England this year. In addition, 70% of our pupils gained A -A grades at IGCSE. Once again, this is a truly excellent achievement when compared with the 60% of A - A grades at GCSE obtained in the English independent (private) school sector.


In the graduating class of 2024, Top-ranking UK universities welcoming this year's graduates include St Andrews, Imperial, UCL, LSE, Edinburgh and Bath. Students in the US have already started their higher education at Harvard, Columbia, Stanford, NYU, UPenn and Cornell, amongst other excellent colleges.


A number of our students will be staying in Spain, at top-notch places including ICADE, IE and Navarra; others will continue their education elsewhere in Europe in world-leading institutions in France, Italy and the Netherlands. 3 of our students will be taking a gap year to continue their sporting achievements in golf, football and rowing.

Runnymede College is looking to recruit an administrative assistant to join our busy School Office for an immediate start.


We are looking for a candidate who:


  • will liaise on the phone, via email and in person, in both English and Spanish


  • will organise school trips and events


  • will work alongside the Office Manager to organise and manage school wide events and trips, such as Parents Evenings, Prize Giving, School Productions, Sports Days, Summer and Christmas Fairs and various class outings throughout the year.


  • will manage the Events and Trips calendars, coordinating with staff across Pre-Prep, Prep and Senior School regarding their requirements


  • will book event spaces and will work with the Maintenance and IT teams to ensure the spaces are prepared as requested


  • will deal with external companies, such as travel agents and our partner bus company, to obtain quotes and arrange accommodation and travel as necessary


  • will liaise with the Bursar and Managing Director to invoice parents for school trips


  • will organise packed lunch requests for outings and notify the kitchen of year group absences due to outings


  • will request quotes and process payments from suppliers, collaborating companies, etc


  • will order office supplies, monitor stock and keep an inventory


  • database management - data entry and record keeping



The successful applicant will have:


  • a degree


  • at least 2 years previous work experience in a similar role


  • previous user experience with Apple products (iMac, iPads, iCal), Box, Slack, MailChimp, Wordpress, Microsoft Office 365, Numbers, Pages, Keynote, etc.


  • database management experience - iSAMS


  • required skills: problem solving, team work, initiative, motivated self learner, able to prioritise and make decisions, interpersonal and communication skills, customer focussed, flexible, quick learner and adapts well to changes, discreet, cheerful, etc.


  • previous work experience in an international school (desirable)


  • must be able to communicate in Spanish and English (written and spoken)


  • smart professional appearance and positive work ethic
