Administration Lead

This is a vital post focused on transforming and optimising our services by successfully implementing new administrative models. Your work will directly impact patient pathways, ensuring our clinical teams can deliver timely, high quality care.

Responsibilities

  • Lead Operationally: manage and develop a team of administrative staff, overseeing recruitment, training, supervision, and performance reviews (PDR), ensuring a supportive and compliant environment.
  • Transform Services: drive ongoing development and implementation of new administrative models, collaborating with Service and Team Managers to streamline processes across clinical pathways.
  • Assure Quality: champion administrative and data quality. Support and maintain processes for regular data checks, rectifying issues, and ensuring compliance with vital records management and information sharing protocols.
  • Optimise Performance: support rotas and resource allocation, ensuring hubs are appropriately staffed to meet demand and support NHS Key Performance Indicators.
  • Uphold Standards: embed exceptional customer service standards in all communications, guaranteeing professionalism and compassion.

Main duties of the job

The post holder will be aligned to a portfolio of the Care Group and will lead clinical administration and clerical support functions across identified services within the Care Group, including responsibility for administrative and data quality, support for the achievement of service KPIs and customer service. They will operationally manage the clinical administration staff within the Care Group.

Qualifications

  • 5 GCSEs including English and Maths (Grade C/4 or above) or equivalent.
  • NVQ 3 in Business Administration or equivalent.
  • RSA/OCR Level 3 Typing/Word processing or equivalent.

Experience

  • Demonstrable experience of working in a busy office and pressurised environment and managing a diverse workload.
  • Knowledge and experience of using Microsoft Office applications.
  • Experience of managing teams.
  • 2 years administrative experience within the NHS or other complex organisation.
  • Ability to work on own initiative and as part of a team.
  • Experience liaising with staff across different disciplines and organisational boundaries.
  • Experience of working across multi agency groups.
  • Dealing appropriately with sensitive and confidential information.
  • Experience supporting/managing projects.
  • Working within financial constraints, policies and procedures.
  • Experience of performance management.

Knowledge

  • Experience moving and handling objects; trainer or prepared to undertake study.
  • Thorough understanding of confidentiality and security of information.

Skills/Abilities

  • Effective problem solving abilities.
  • Experience working to and meeting deadlines.
  • Excellent verbal and written communication, negotiation and presentation skills, and ability to maintain effective relationships.
  • Ability to translate information across multiple formats and media.
  • Ability to manage a diverse workload.
  • Ability to produce documentation to a high standard.
  • Flexible and adaptable approach.
  • Developing, implementing and maintaining processes, procedures and systems.
