Administration Assistant

UCLH's Eastman Dental Hospital is looking for an administrative all rounder to join the Restorative Dentistry team. The role involves clear, compassionate communication with the multidisciplinary team, patients and their families, as well as handling various administrative tasks to support clinical care.
Main duties of the job- Monitor the Letter queue folder in the inbasket, complete follow up activities, format letters and add relevant recipients using the Clinic letter template SOP.
- Answer and manage telephone calls related to the service in a courteous and prompt manner, taking messages and delivering written or verbal information within the timeframe stated in local processes or the patient communication policy.
- Provide patients with appointment details and non clinical advice or guidance concerning their care.
- Resolve simple queries and determine when to refer callers to the clinical team.
- Act as the point of contact for the department or specialty, handling stakeholder queries and forwarding information to the appropriate team members using the Telephone and Email Directory (TED).
- Monitor, triage and respond to e mail queries in the generic inbox, following local processes and the patient communication policy.
- Escalate complex queries, offer reassurance, provide an expected response time and further contact details as required.
- Educated to GCSE level or equivalent, with Grade C or above in English and Maths.
- Knowledge of administrative procedures, acquired through training and/or previous experience in an administrative environment.
- Awareness of confidentiality requirements and knowledge of the Data Protection Act.
- NVQ Level 3 in Business Administration, Customer Service, Healthcare Support Services or equivalent qualification.
- Experience working in a non routine environment, demonstrating the ability to respond to queries and manage unpredictable situations.
- Experience in an administrative environment and knowledge of a comprehensive range of administrative procedures.
