We're looking for a Front of House Admin Assistant to join our welcoming team in Hull.In this important and highly visible role, you'll help create a professional and friendly first impression for clients and visitors while providing vital administrative support to the wider team.
Main Responsibilities include:- To receive clients and visitors at the reception desk.
- To support the effective operation of the office.
- To provide high quality administrative support as required within the organisation to staff and clients.
- To provide assistance to all departments as and when required.
- Provide an efficient telephone/personal contact with clients in a professional and courteous manner.
- Take and pass messages accurately and promptly.
- Ensure the tidiness of the interview rooms
- Open and close client files as required (Training will be provided)
- Audio typing of correspondence and documents
- Prepare mail and enclosures for dispatch
- Log incoming cheques and cash securely, issue receipts and pass requests for credit card payments by phone to the finance department
- Ensure stationery and kitchen stock maintained, to include local office purchases
- Experience in a professional office environment preferred
- Must be willing to train as First Aider & Fire Marshal
- Good level of general education
- Have knowledge of Microsoft Office and the ability to learn software as required
- Be a good communicator both verbally and written
- Be able to maintain a high level of confidentiality
- Be able to prioritise and organise workload
- Be reliable and diligent, with good attention to detail
- Have a friendly and helpful 'can do' attitude
- Experience in a professional office environment preferred.
- 2 years general secretarial / reception experience or similar
