Job Description
Admin Assistant - 15 hours

We are looking for an experienced Admin Assistant to support clients through their episode of care in our units in Northampton and Milton Keynes. The role involves completing all administrative and client support tasks within the unit.

The position is part time, 15 hours per week. Working hours are Monday, alternate Thursday, and alternate Friday (see shift pattern below).

Main duties
  • Answer and direct telephone queries, liaising with internal and external colleagues as necessary.
  • Accurately check or complete BPAS and legal paperwork, ensuring all relevant documentation is available for the client's episode of care.
  • Monitor, edit and amend appointment list using the BPAS booking system, informing clients of any changes.
  • Assist in monitoring, controlling and ordering stock, sorting and distributing incoming mail and preparing and dispatching statistical information and reports.
Additional requirements
  • Experience dealing face to face with clients who may be angry or upset in a care environment.
  • Knowledge of clerical procedures including documentation checking, telephone and reception duties.
  • Good attention to detail, supportive towards colleagues and clients, and an effective team player.
Experience
  • Administration experience in an office environment, general office duties, and clerical procedures.
  • Telephone and reception procedures.
  • Experience with patients who may be angry or upset in a care environment.
  • Healthcare administration experience.
Qualifications
  • English and Maths qualification: GCSE A to C, Functional Skills Level 2, GCSE 4 , or NVQ Level 2.
  • Competent in Microsoft Office (Word, Excel, Outlook, Teams).
Shift pattern

15 hours per week - Monday 09:30-17:30 (Northampton), Thursday 09:00-17:00 (alternate weeks, Milton Keynes), Friday 09:00-17:00 (alternate weeks, Milton Keynes).

Salary

£24,484 - £27,583 per annum pro rata (£13.08-£14.73 per hour), depending on skills and experience.

Location

One unit will be your base unit; mileage to the second unit will be reimbursed at a rate set by the BPAS expenses policy.
