At present, University Hospitals of North Midlands is unable to offer visa sponsorship for Band 2 to Band 4 roles, as these positions do not meet the minimum salary and skill thresholds required under UK Visas and Immigration (UKVI) regulations.

An exciting opportunity has become available within Specialised Surgery Directorate. The Dermatology Team at Royal Stoke/County Hospital are looking for an experienced and motivated individual with excellent organisational and interpersonal skills to work as a Medical Secretary and Waiting list officer.

Main duties of the job

Candidates should possess a professional attitude to their work and have the ability to work flexibly in an extremely busy environment. You will possess experience of working as a medical secretary demonstrating accuracy and excellent multi-tasking capabilities in all aspects of the workload. You will be required to work as part of a team as well as being able to use your initiative and prioritise your own workload to meet strict deadlines.

Manage and coordinate minor operations bookings for patients specifically for cancer patients.

Schedule and manage Staffordshire Treatment Suite bookings, specifically for cancer patients.

Monitor and prioritise workload to ensure timely patient access and service targets are met.

Work closely with consultants and secretarial staff to facilitate patient pathways and clinic requirements.

Answer incoming telephone queries from patients, staff, and other departments.

Maintain accurate records and databases related to patient bookings and waiting lists.

Liaise with internal teams to resolve booking conflicts or capacity issues.

Ensure compliance with service standards, targets, and national guidelines for patient care.

Job responsibilities
  • Provide comprehensive administrative support to the Dermatology team across Royal Stoke and County Hospital.
  • Act as the Waiting List Officer for the Dermatology department, managing patient bookings and coordinating procedures.
  • Perform secretarial duties including correspondence, typing, and document preparation for consultants and clinical staff.
  • Manage minor operations and Staffordshire treatment suite bookings, including cancer patient pathways.
  • Work across both hospital sites as required, and provide cover for Plastic Surgery administrative functions when necessary.
  • Monitor and prioritise workload to ensure timely patient access, pathway compliance, and adherence to targets.
  • Liaise closely with consultants, secretarial teams, and other clinical staff to ensure smooth service delivery.
  • Answer telephone queries and provide information to patients, staff, and other departments.
  • Support the Improving Together approach, contributing to service improvements and efficient administrative processes.
Person Specification Experience
  • Achieved Grade C+ in Maths/English
  • 2 Years Admin Experience
  • Experience Working as a Team
Additional Experience
  • Two years experience working in an office environment
  • Knowledge of NHS procedures
