Main Purpose of Role
We are currently seeking a skilled administrator to join our training team, to co-ordinated training and develop digital content.
The role will provide administrative support to the training team and the way we deliver training as it changes and develops. The work will involve our training Academy Totara, ensuring this is accurate, current, and user friendly, and will be working closely with the training team and all areas of the Dimplex business.
Key Accountabilities
- Collaborate with the Training team to gather and organise content and training materials for new products via Stage & Gate and ensure all legacy product materials are available on the Academy. Address any reported issues to maintain accuracy and accessibility. This ensures that both customers and colleagues have access to up-to-date and reliable information, supporting effective product understanding and usage.
- Provide essential support for Continuing Professional Development (CPD) activities delivered through the Academy. This ensures that customers have access to structured learning opportunities that enhance their professional skills, maintain industry standards, and support their ongoing development and accreditation needs.
- Manage tenancies and audience groups within the Academy, ensuring changes are clearly communicated and enabling the development and scheduling of additional training where needed.
This guarantees that the right people receive the right training at the right time, enhancing learning efficiency and relevance. - Create and maintain contact records for Installer Pro, ensuring appropriate access for partners and members within the Academy. This supports seamless collaboration and ensures stakeholders can engage with the platform effectively.
- Liaise with external stakeholders to gather and maintain accurate information for Installer Pro.
This ensures the integrity and usefulness of Installer Pro as a trusted resource for training and engagement. - Serve as the primary contact for employee database management within Totara, ensuring compliance with privacy and GDPR regulations. This protects employee data and ensures legal and ethical standards are upheld.
- Maintain appropriate access levels and collaborate with colleagues and Heads of Department to support content creation and placement on the Academy. Ensure all training is recorded in Totara for onboarding and refresher purposes. Support the development of learning plans, programmes, and certification courses, with monthly reporting. This ensures training is accessible, traceable, and aligned with business needs, supporting employee development and compliance.
- Support Health & Safety training development on Totara in collaboration with teams across the business.This promotes a safe working environment and ensures all employees are aware of and adhere to safety protocols.
- Use the Academy to facilitate onboarding and ensure the offboarding process is accurately followed.
This supports a smooth transition for new starters and ensures proper closure for leavers, maintaining operational continuity. - Assist in the creation of training materials, including content, videos, and literature.This enhances the quality and engagement of training resources, improving learning outcomes.
- Develop and promote courses on the Academy to increase visibility and participation. This encourages continuous learning and ensures employees are aware of available development opportunities.
- Engage with site and group trainers, as well as the training team, to review and align training materials for consistency across the business. This ensures uniformity in training delivery, reinforcing brand and operational standards.
- Capture training needs and collaborate with trainers to schedule appropriate sessions. This ensures training is timely, relevant, and aligned with business priorities.
- Collect feedback from training participants, log it, and share with providers and stakeholders to support continuous improvement.
This helps refine training offerings and ensures they meet the needs of learners and the business. - Provide feedback and liaise with line managers to identify issues early, take corrective actions, and apply lessons learned through continuous improvement.
This strengthens the training process and supports proactive problem-solving. - Enable GDHV managers and Heads of Department to generate monthly reports on their teams' engagement with Totara. This provides visibility into training activity and supports performance management and development planning.
- Adhere to GDHV Health & Safety policies, ensuring all departmental tasks are performed safely and in line with company procedures, with support from the Health & Safety Officer.
This safeguards employee wellbeing and ensures compliance with legal and organisational safety standards.
Skills, Knowledge and Experience
Essential Criteria
- Ability to multitask, prioritising workload and focusing on the scheduled requirements
- First rate interpersonal skills, and the skills to develop intergroup team building.
- Proficient in the use of MS Office.
- Knowledge and experience of using Totara or similar LMS based system.
Desirable Criteria
- Knowledge of required training processes and content required.
- Experience working closely with inter-group departments.
- Experience in data gathering
- Previous training experience.
Competencies
- Excellent communication skills both verbal and written, utilising all mediums to communicate effectively.
- Capability to work well under pressure.
Travel
This position is office based at Glen Dimplex Hedge End. There may be occasions when travel within the UK will be a requirement.
