Responsibilities
  • Secretarial Support: diary management - arranging, rescheduling and confirming appointments; keeping senior and vice president diaries updated; liaising with assistants globally; arranging internal and external meetings, lunches, dinners.
  • Travel & Expenses: manage travel bookings using corporate travel provider; produce itineraries; ensure adherence to HL Travel Policy; assist with visa and currency requirements; book ground transportation; prepare and submit expense reports using HL online expense system; reconcile monthly corporate/personal credit card statements; process travel refunds.
  • Administrative / Project Work: maintain organised filing system; support departmental new joiners with company policies; organise team social and networking events, conferences and activities while adhering to budgets; participate in office admin meetings and events; carry out project work as required.
  • Absence Cover: provide general support and cover for other assistants within the department when possible; act as Fire Officer/First Aider if required.
  • Health and Safety: act as Fire Officer/First Aider if required (training will be given).
Basic Qualifications
  • Degree level education or graduate calibre.
  • 3+ years experience (transferable skills from other industries acceptable).
  • Excellent organisational, oral and written communication skills; detail oriented and able to prioritise workload.
  • Competent user of Microsoft Office products, including PowerPoint and Excel.
  • Fluent in English; additional European languages are an advantage.
  • Positive, flexible, responsive, service oriented attitude; able to meet deadlines.
  • Resilient and able to handle high pressure environment and demanding individuals.
  • Flexible, resourceful and able to anticipate needs; receptive to action on own initiative.
  • Confident with an outgoing personality and practical problem solving approach.
  • Ability to interact effectively with all staff levels and maintain confidentiality.
  • Self starter with a strong sense of ownership and commitment to continuous improvement of policies and procedures.
