Job Description

We are looking for an enthusiastic, friendly and helpful person who thrives in a busy, ever-changing environment to join our Administration Team in Colorectal and General Surgery.

Your role will be to provide valuable administrative support to the secretarial team, enabling the service to run smoothly.

The role is 22.5 hours per week, working Wednesday-Friday.

Main duties of the job

To provide day to day administrative support to the Secretarial team.

Deal with day-to-day correspondence, to include incoming and outgoing post

Scanning and uploading of patient information to electronic records

Generic emails - monitoring and actioning as required

To monitor and order stationary as required

Booking appointments.

Communicate by email, telephone or face to face with clinicians, other healthcare professionals, management and patients.

Spreadsheet work to include updating and tracking information

Typing of clinic letters/correspondence as required

To cross cover in times of absence

Person Specification Qualifications
  • Minimum of 5 GSCEs including English Language and Maths or functional skills
  • In-house training or vocational level 2 or equivalent level of experience
Experience
  • IT literate; including recent experience of using Microsoft packages such as Word, Outlook and Excel
  • Working knowledge administrative procedures and systems
  • RSA/OCR III or equivalent typing/word processing including audio typing
  • Experience of dealing with patients/customers
  • Evidence of prioritising workloads/good time management
  • Proven experience of working well as part of a team

  • Ability to multitask.
  • Ability to organise own time & prioritise.
  • Accurate and timely presentation of information
  • Minute taking and transcribing
