Job Description

As a key member of the service team within our business HQ, the service team assistant will be required to undertake work assigned from across the company and will have daily interactions with all staff.

The role

This job description is not exhaustive, and the post holder may be required to undertake additional duties from time to time to assist with the smooth running of the Edinburgh management services team. Key tasks/responsibilities include, but are not limited to

Duties
  • Undertake Room Set-ups and resets for client meetings and events
  • Sort/Manage all incoming mail, scan to relevant person and place in Mail Sling
  • Prepare mail for dispatch, checking, folding and ensuring enclosures are included and cheques are signed
  • Save Tracked "Proof of Delivery" to the Matter No
  • Package couriers and arrange either online or by phone
  • Repair minor faults located on the Satellite Copiers (inc calling out Engineers), install new toner when required
  • To complete all requests sent to us via our online portal or by email including but not limited to:
    • Printing
    • Copying
    • Scanning
  • Ensure Stationery Supplies are in stock and order when necessary.
  • Check Printbays for Stationery stock and replenish supplies accordingly.
  • Proactively check the office environment for any faults and elevate for repair immediately.
  • Undertake any other reasonable duties as required by Line Manager

  • Ability to work well under pressure and to strict deadlines
  • Creative approach to problem solving
  • Ability to undertake physical responsibilities across the office
  • A friendly and positive attitude, and an ability to work alongside staff from all sections of the business
  • Flexible approach to ensure that all requests are prioritised and completed efficiently and effectively
