Facilities Coordinator

Location:South West London
Salary:£30,000 - £32,000 DOE

About the Company

Our client is a well-established and growing engineering business specialising in HVAC and building services maintenance. Providing planned preventative maintenance, reactive service support and technical expertise to a wide range of commercial clients, they have built a strong reputation for delivering exceptional customer service and technical excellence.

Due to continued growth, they are looking to recruit an organised and proactive Service Controller to join their busy Service Department.

The Role

As a Service Controller, you will play a key role in supporting the day-to-day operation of the service team. You will be responsible for planning and coordinating engineers' schedules, ensuring service visits are efficiently allocated, and maintaining excellent communication with both engineers and customers.

This is a fast paced position that would suit someone with strong administration, scheduling and customer service skills who enjoys working in a busy environment.

Key Responsibilities
  • Planning and scheduling engineers' daily workloads and service visits
  • Coordinating reactive breakdowns, maintenance visits and service calls
  • Liaising with customers regarding appointments, updates and service requirements
  • Monitoring engineer availability and adjusting schedules where required
  • Raising and processing service related documentation
  • Maintaining accurate records and updating internal systems
  • Supporting the Service Manager with day to day administration
  • Handling incoming customer enquiries via phone and email
  • Ensuring service reports and paperwork are completed and filed correctly
  • Providing general administrative support to the wider service department
What We're Looking For
  • Previous experience in a Service Controller, Service Coordinator, Scheduler, Planner or similar administration role
  • Excellent organisational and multitasking skills
  • Strong communication skills with the ability to build relationships with customers and engineers
  • Good IT skills, including Microsoft Office
  • Ability to prioritise workloads and work effectively under pressure
  • A proactive and positive attitude
  • Experience within Facilities Management (FM), HVAC, Building Services, Maintenance or Engineering environments would be highly advantageous
  • Familiarity with CAFM systems and coordinating field based engineers would be beneficial
