Job Description
Vision and Purpose 
Full time: Permanent - 7.45am-4.30pm - Mon-Fri - Term Time Only
Reporting to: PA to the Principal
Responsibilities- We are looking for an experienced receptionist and administrator who can oversee the main reception and provide guidance and support to the reception staff and coordination the day-to-day workflow of the administration staff.
- To ensure a welcoming, calm and professional reception environment is maintained at all times.
- To support the day-to-day organisation of the school office and reception area.
- To provide guidance and support to the Receptionists and Administration officers.
- Co-ordinate and oversee the reprographics and administrative workflows.
- To have responsibility for overseeing the day-to-day operation of the main reception and office procedures ensuring safeguarding processes are adhered to.
- To further develop an efficient administrative support system, realising and deploying the potential of IT and other technologies in the administration of the Academy.
- Maintain effective communication with the PA to the Principal to support smooth office functioning. Respond positively to feedback and pass on concerns to the PA when appropriate.
- To take responsibility to ensure the main reception office is organised, tidy and inviting. To be proficient in a range of systems, Excel, Word, Arbor, CPOMS.
- To oversee maintenance and transfer of student records / archives. Ensure they are maintained to a high standard by the administrative support officer confirming when children leave the academy their file is transferred to the new school or college as soon as possible with secure transit and confirmation of receipt obtained.
- To carry out word processing, data entry and ICT based tasks.
- To support in the invigilation of tests and examinations, to accompany staff and pupils on educational visits.
- To support the school's first aid function as a registered first aider and supporting pupils with specific medical conditions, e.g. diabetes.
- To support after school events such as parent's evening, open evenings etc. To undertake the necessary training involved with the post.
- You will also need to be committed to teamwork, very well organised, with an excellent work ethic as well as an effective communicator working with staff, pupils and parents.
- Individuals have a responsibility for promoting and safeguarding the welfare of children and young people he/she is responsible for or comes into contact with. To ensure all tasks are carried out with due regard to Health and Safety. To ensure that the highest standards of confidentiality are maintained when dealing with information relating to pupils and/or staff. To understand and act in accordance with the school's equal opportunities policies. To undertake any reasonable task requested by the Principal / SLT or line manager.
- Please note this role does not carry direct line management responsibilities.
- Proficiency in a range of systems, including Excel, Word, Arbor, CPOMS.
- Experience in administration, reception duties, safeguarding processes and records management.
- Ability to develop efficient administrative support systems and utilise IT and other technologies in administration.
- Strong communication and organisational skills; ability to work with staff, pupils and parents.
- Commitment to teamwork, health and safety, confidentiality and equal opportunities policies.
