Job Description
We are looking for a Senior Project Executive who will be responsible for supporting the Project Managers and Senior Project Managers. The role involves processing new enquiries, supporting ongoing events, provide onsite support as required to ensure successful delivery of events and developing product & venue knowledge across UK and international markets. You will also be expected to build relationships with both clients and suppliers.
What You'll Be Doing- Responsible for event enquiries - plan, organise, and manage time effectively to complete proposals for specific events and projects within agreed deadlines.
- Responsible for Event Management - support the planning and delivery of events and projects, ensuring their successful completion while working collaboratively as part of a wider team.
- Provide operational support, including conducting inspections and onsite management as required.
- Support venue sourcing and liaison as required, including coordinating options, confirming dates and release periods.
- Liaise with DMC and coordinate ground programme planning, including offsite venues, transport and related logistics.
- Responsible for offsite venue and entertainment research, including theming and design.
- Maintain and develop excellent working relationships with key partners including clients, suppliers and partner companies.
- Responsible for assisting and preparing event budgets.
- Responsible for researching and assisting in the booking of flights as and when required.
- Provide financial support by assisting with invoicing clients, maintaining cash flow documents, managing supplier invoices, and conducting post-event reconciliation.
- Support with the preparation of event documentation, including Health & Safety checks, risk assessments to client contracts, rooming lists, and event playbooks.
- Proposals delivered to a high standard ensuring accuracy of information provided.
- Maintain reporting procedures including updating the database and the time tracking platform.
- Responsible for managing event inboxes, generating reports from Cvent, and updating event websites.
- Act as one of the designated staff members responsible for answering the general office phone line.
- Maintain working files in order, ensuring all relevant information is filed.
- Attend familiarisation and industry events as and when required.
- Onsite management will be required, travel in UK and Overseas.
- Carry out any ad hoc duties from time to time identified by management.
- Prepare risk assessments and method statements for Principal, ensuring that Health and Safety policies and licensing requirements are always met.
- Ensure that all parties involved in the delivery of the projects are both familiar and compliant with the Health and Safety policy and all associated policies, procedures and methods of working.
- Responsible for Health & Safety issues in the workplace and manage successful compliance with current legislation.

- Ensure legal compliance with all activities are adhered to for regulatory requirements.
- Adhere with all Principal Policies & Procedures.
- Bachelor's degree in Event Management, Business, Marketing, or a related field.
- Proven experience (typically 1-3 years) in a fast-paced agency or similar environment.
- Experience with corporate events, such as conferences, exhibitions, or corporate events, gala dinners and incentive trips.
- A creative approach with the ability to support the conception and delivery of solutions across a wide range of industries and audiences.
- Excellent relationships with key clients, suppliers and providers.
- Ability to work well under pressure in a busy environment.
- Strong multi-tasking and time management skills to manage concurrent tasks efficiently.
- Able to pay close attention to detail and maintain accuracy whilst handling a varied and demanding workload.
- Proficient in all Microsoft Office Packages, particularly Microsoft Excel.
- Team player but able to work on own initiative.
- Right to work in the UK.
