Key ResponsibilitiesThe Senior Medical Affairs Operations Associate will be accountable for supporting the European medical affairs office and field-based teams across a variety of operational activities (reporting to Executive Director, Medical Affairs Europe & International (ex US , ensuring smooth and efficient functioning of the team and processes. The analyst needs to show the ability to learn and manage all IT systems including, but not restricted to, Office, Agiloft, NetSuite, Veeva PromoMats, Veeva events and CRM.
- Assist in the preparation, formatting, and distribution of European medical and scientific documents, ensuring accuracy and compliance with company standards
- Act as a coordinator/content creator within Veeva PromoMats, managing content and workflows to ensure compliance and efficiency
- Maintain and update relevant databases and records related to medical affairs activities, ensuring data integrity and confidentiality
- Manage inventory of medical affairs materials, ensuring availability and proper usage
- Manage operational aspects of European medical affairs activities such as advisory boards, medical and scientific exchange meetings, medical sponsorships, symposium, and local medical round table meetings across Europe
- Administrative support for Veeva Events in liaison with country medical teams and European HQ medical affairs teams
- Communicate with HCPs and vendors for setting up medical affairs activities
- Manage the contracting process from end to end (including CDA, new vendor form, MSA, SOW and PO) with external partners and internal stakeholders
- Assist in tracking the budget for field medical affairs activities, ensuring accurate and timely reporting
- Organisation and logistic support for all internal and external European medical affairs meetings
- Assist in PO management in liaison with procurement and finance
- NetSuite support to reconcile invoices within the European medical affairs budget
- Self-starter being able to manage and execute with sometimes less guidance, proposing solutions to ideas
- Attention to detail and processes with high level of analytical skills with ability to problem solve and process improve
- Experience of medical affairs operations
- Willingness of working in a cross-functional role within different department
- Experience of medical material review systems such as Veeva PMO
- Willingness in owning projects and deliver solutions
- Familiar with Microsoft Excel, Word and PowerPoint
- Bachelor's degree in life science and 3+ years relevant experience preferred
- Openness to learn new systems like Veeva Events, NetSuite, ePO, Tungsten and Agiloft
