We are looking for ambitious and experienced Senior Manager - Schedule Planning & Slots to strengthen our Operations team in our Barcelona HQ office.


Strategic Planning & Optimization

  • Develop and implement standardized scheduling frameworks for all clinics.
  • Analyze historical appointment data to forecast demand and identify peak hours/days.
  • Increase efficiency in chair utilisation
  • Create optimized rosters that balance clinician availability, patient demand, and clinic resources.
  • Develop strategic plans for expanding capacity during high-demand periods (e.g., holidays, promotions).


Scheduling Operations

  • Oversee daily and weekly clinician schedules across all locations.
  • Ensure equitable distribution of workloads among practitioners.
  • Coordinate with HR and Clinic Managers to manage leave schedules, shift swaps, and staffing gaps.
  • Monitor real-time schedule adherence and make dynamic adjustments as necessary.


System Management & Reporting

  • Utilize scheduling software to manage appointments and monitor performance.
  • Generate and analyze reports on appointment utilization, no-show rates, cancellations, and productivity.
  • Recommend process or system enhancements to improve booking efficiency.


Cross-Functional Collaboration

  • Liaise with Clinic Managers, HR, and Marketing to ensure alignment on staffing, promotions, and patient flow.
  • Work closely with the clinical leadership team to understand treatment duration needs and block scheduling requirements.


Patient Experience & Satisfaction

  • Implement strategies to reduce patient wait times and appointment delays.
  • Monitor feedback related to scheduling and take corrective action to improve the experience.
  • Ensure that patients waiting time is withing the OKRs
  • Establish guidelines for emergency or last-minute bookings.
