Job Description

The purpose of the role is to support delivery of an efficient and effective HR service to the business through the operation of HR processes and the provision of advice, so that a positive people experience is delivered.

The job holder will support achievement of the desired organisational culture by role modelling desired behaviours.

A focus on continuous improvement and efficiency, alongside strong customer service, is key and therefore the specifics of the role content may flex over time.

The job holder works closely with other team members, namely the Head of HR (line manager) and the HR Advisor.

  • Managing the HR Inbox and acting as first point-of-contact for all employees on HR policies and procedures queries, sign-posting guidance that will enable them to self-serve in the future and liaising with the HR Advisor or Head of HR on more complex issues.
  • Administering employee lifecycle changes in a timely manner including new starters, leavers and movers, optimising them so they deliver a positive people experience.
  • Managing the end-to-end employee onboarding and induction processes, including employment screening and vetting, right to work check, ensuring regulatory compliance as well as good colleague experience.
  • Maintaining accurate employee records and files and records in a timely manner, through a combination of the shared-drive and the HR system (Bamboo HR), providing relevant information to stakeholders such as Finance and the payroll bureau, and dealing with queries by exception.
  • Overseeing payroll administration, including the collation of information, accurate calculations (e.g. backpay, holidays, joiners, leavers, movers pay calculation, family friendly leave, sick pay and pro rata calculations). Acting as first point of contact for employees regarding payroll related queries.
  • Managing the Apprenticeship Levy portal, acting as the first point of contact for any queries, ensuring the submission of service contracts, liaising with providers, and making timely updates as required.
  • Key point of contact for Career Ready, promoting, organising and managing the annual internship programme and volunteering opportunities.
  • Undertaking junior recruitment campaigns, supporting the HR Advisor as required.
  • Setting up various meeting and diary co-ordination, such as booking training courses, interviews and induction meetings.
  • Assisting with regulatory submissions.
  • Providing FCA regulatory references as well as standard employment references for both current and former employees, ensuring compliance with regulatory requirements and internal policies.
  • Supporting IT with onboarding and off boarding (weekly check in meetings).
  • Preparing and updating HR documents including letters, forms, reports and contracts and completing data entry tasks.
  • Understanding and being curious about how the HR system and associated processes operate, in order to drive end-to-end HR process efficiency and accuracy.
  • Providing clear management information (MI) on a monthly basis on key HR metrics through the recording and/or extraction of data (e.g. diversity statistics, turnover rates and recruitment costs) and responding to ad hoc data requests as required.
  • Managing employee benefits and pensions administration on a monthly basis and for annual renewals, ensuring timescales are adhered to and all details are communicated effectively.
  • Co-ordinating and delivering the annual calendar of Health, Wellbeing and Inclusion activities.
  • Co-ordinating communication and promotion activities for HR, including updating and maintaining the HR section of SharePoint intranet site and promoting the Employee Recognition scheme, collaborating closely with internal communications colleagues.
  • Assisting in the delivery of other HR projects and BAU activities as required, undertaking research, co-ordinating activities, and preparing documents to support the delivery of our people strategy and business goals.
  • Provide general administrative support to the Head of HR and wider HR Team as required.
Knowledge, Skills and Experience
  • Membership of the CIPD, at any level above Affiliate or able to demonstrate equivalent knowledge and skills.
  • Relevant experience gained in a HR role, and ideally including some recruitment and selection experience.
  • Excellent interpersonal skills with strong communication and relationship building capabilities across all levels of the business.
  • Ability to work to tight deadlines, independently and accurately, apply judgement and make decisions.
  • Excellent organisation, planning and administrative skills and able to work collaboratively and efficiently, prioritising as required.
  • Strong office IT skills especially confident using Microsoft Excel, Word and PowerPoint.
  • Experience of effectively using and administering an HR system, combined with process mindset to ensure efficient and consistent end-to-end processes.
  • Discretion is required as this role will deal with highly confidential information.
  • Desirable: - Understanding of the HR-related requirements of the SMCR, gained within a financial services environment.
