About The Role Based in our Global HQ on Baker Street the Executive Assistant will work within the Human Resources department, providing EA support to the Chief People Office. The role is required as right-hand person, supporting them with the smooth running of the department. Confidentiality is crucial to this role. Key Responsibilities Senior Exec Support Be first point of contact for the CPO with colleagues across the business globally, whilst representing the role with professionalism, discretion and confidentiality. Extensive 1:1 senior level support whilst being a natural extension of the CPO and their daily activities. Handle all EA duties with discretion, diplomacy and efficiency, reflecting the professionalism of the CPO and the People function. Working exceptionally closely with the CPO to be able to anticipate their needs and be able to help prioritise requests for time and attention from all areas of the business. With the Chief People Officer operating at Group Executive Board level, the role requires EA to independently manage and support a range of complex, cross functional projects and strategic initiatives depending on priorities coming from the Group Executive Board. Maintaining a strong and trustworthy connection and partnerships throughout the organisation including senior stakeholders, internal teams and external connections. Maintaining a close relationship with the wider EA network to ensure effective coordination and cover where required Supporting with cover for other Senior EA's for holiday's etc Diary, Meetings and Governance Proactively managing the Chief People Officer's complex diary, ensuring optimal use of time and seamless scheduling of meetings, appointments, and travel arrangements. This includes anticipating potential conflicts, prioritising commitments, holding time for prep and actions whilst providing timely reminders to facilitate efficient decision-making. Ability to adapt swiftly to changing priorities with attention to detail, while always upholding the highest standards of professionalism and discretion. Coordinate and oversee the preparation and distribution of governance documentation, ensuring all materials are accurate, compliant, and delivered within required deadlines. Effective stakeholder management and the ability to build strong working relationships across all levels of the organisation will be essential to success in this position. Inbox management, organising and minuting meetings, drafting correspondence and board papers, preparing presentations, general administration and efficient running of the office Prepare the CPO for meetings by collating papers, drafting agendas, managing pre-reads and ensuring all documentation is available in advance. Support preparation for Board and Committee meetings, including maintaining forward agendas, coordinating papers, and tracking actions to completion. Review board and committee papers and minutes, ensuring agreed actions are completed ahead of subsequent meetings. Confidentiality across all aspects of the CPO's work, diary and inbox is crucial Department and People Function support Ensure the team are appropriately equipped with tools, resources and facilities to operate effectively Partnering closely with the Chief People Officer's leadership team and direct reports to ensure they are effectively supported with all requirements from the CPO, including oversight and coordination of broader team needs. Organising all team related activities including agenda, content, socials and ensuring CPO has all material needed ahead of meetings Being a point of contact for the team, acting as an advisor where needed and necessary Working with the business partners for People function team closely Be a delegate in Workday and SAP for the CPO for Invoice approval, administering all expense claims for the CPO and expense approval for CPO direct reports, holiday approval, raising roles and other actions Systems & IT competence Word (advanced) PowerPoint (advanced) Outlook (advanced) Excel Microsoft Teams Copilot Workday Experience and Particular Aptitudes/Skills Required 5 years+ EA experience Experience at board level with minute taking experience A flexible, organised, pro-active hands-on individual is required for this role Excellent IT skills with knowledge of Microsoft Office Excellent verbal and written communication skills Excellent time management skills This role would suit a strong communicator capable of successfully influencing others at all levels of the business, with a professional and helpful manner This position will ideally suit a self-motivated, well-presented individual with a proven background in project management, organisation and administration, including a genuine interest in HR Ability to influence and communicate with others.
