The role

Specialist Children's Services (SCS) provides clinical services for children and young people who have severe, enduring and complex mental health, disability and neurodevelopmental profiles. SCS is hosted by East Dunbartonshire HSCP and is responsible for the provision of Specialist Paediatric Services (SCPT), Child and Adolescent Mental Health Services (CAMHS) and Specialist Hosted Services across Greater Glasgow and Clyde. This post provides business support to the senior management team of Specialist Children's Services and is not a patient facing role.

  • Monday to Friday, 09:00 to 17:00
Key responsibilities
  • Provide comprehensive secretarial and administrative support to a multi disciplinary team
  • Supervise and coordinate day to day activities of business support staff ensuring effective service delivery
  • Manage appointments, patient enquiries and referral processes using electronic systems
  • Prepare reports, presentations, correspondence and statistical returns with a high level of accuracy
  • Support financial processes including budget monitoring, procurement and compliance with procedures
  • Organise and support meetings including agendas, minutes and follow up actions
  • Maintain accurate records, administrative systems and contribute to service improvements
Knowledge, training, qualifications and/or experience required to do the job
  • HNC in Secretarial Studies or Business Administration, SVQ Level 3 in Administration or equivalent experience
  • Proven experience in a busy administrative or secretarial role with strong knowledge of office systems
  • Advanced keyboard and typing skills including audio typing with high accuracy
  • Experience using a range of IT systems such as Microsoft Office and electronic patient management systems
  • Excellent communication skills with the ability to engage confidently with staff, patients and external partners
  • Strong organisational skills with the ability to manage competing priorities and work independently
  • Demonstrable experience of supervising or supporting staff alongside a commitment to continuous development
