Job Description

North Chelmsford Healthcare Centre is seeking an experienced and highly professional senior administrator to join our team on a full-time basis, working 8am to 4pm (weekdays). This is a pivotal role requiring exceptional organisational skills, sound judgement, and the highest standards of confidentiality.

The successful candidate will provide comprehensive administrative support at a senior level, managing sensitive information with discretion and integrity. You will act as a trusted point of contact, ensuring the smooth day to day operations of the administration team while maintaining strict confidentiality at all times. This position will be based at our main surgery and our branch surgery in Beaulieu.

This is an excellent opportunity for someone with strong administrative skills who is ready to take their first step into a team leader role, or for someone who already has senior-level experience.

Main duties of the job
  • Managing complex administrative processes and documentation.
  • Handling confidential and sensitive information with absolute discretion.
  • Supporting senior leadership.
  • Ensuring compliance with data protection and organisational policies.
  • Supervising and supporting a team of admin assistants.
  • Creating weekly rotas and allocating daily tasks.
  • Coordinating and approving annual leave for admin assistants.
  • Monitoring workflow and delegating work appropriately.
  • Processing insurance reports and Subject Access Requests.
  • Training and onboarding new staff.
  • Attending meetings and sharing information with the admin team.
  • Overseeing completion of all administrative tasks, including:
  • Opening and reviewing incoming correspondence
  • Entering all incoming hospital communications and applying accurate read codes
  • Allocating results to GPs
  • Liaising with hospitals, external services, and patients
  • Typing referral letters
  • Summarising medical records
  • Registering and deregistering patients
  • Managing incoming triage submissions and patient email enquiries

The practice has achieved a Good CQC rating and has an excellent reputation amongst Chelmsford residents. We are part of the Elizabeth Courtauld Partnership and are expanding with a new branch surgery opening in Beaulieu shortly.
