To be responsible for the efficient management and direction of the administration team,ensuring all administrative duties are performed effectively and to the required standard.You will be responsible for the supervision of a team of administrative staff,ensuring all administrative duties are meeting the objectives of the practice, resolving, orreferring problems as necessary.
Main duties of the jobAct as point of contact for Receptionists and Medical secretaries interms of any operational, training or IT related issues;
Deal with more complex patient enquiries andrespond to patient concerns or complaints;
Assist in maximising staff and team potential,ensuring all members are upskilled and working to the maximum effect;
Lead and support the front of house servicesto ensure excellent customer services;
Ensure that all Reception and Medical Secretary KPIs are achieved;
Report day to day information, tothe Admin Team Leader;
Liaise and support the wider practice teamincluding visitors;
Update appointment system for leave/dutychanges due to sickness or holidays;
To monitor access on a daily basis, collectingand recording all relevant information,
Deputise for the Admin Team Leader duringany absence by ensuring that duties are covered and that annual leave and sick leave is managed to ensure that adequatecover is in place for both Reception and Medical secretaries.
Understanding and promoting emergencyprocedures such as fire response and evacuation;
Report the incidence of events, incidents andaccidents;
Ensuring that the Practice is opened andclosed in a manner that maintains security for all staff on the premises;
Be a key holder;
Ensuring a high level of presentation ismaintained in all areas
About usWe are a large, dynamic, friendly practice consisting of 4 Partners, 15 Salaried GPs, 5 Clinical Pharmacists, 1 Pharmacist Technician, 1 Nurse Manager, 2 Practice Nurses, 1 HCA, 2 Phlebotomists & 1 Physician Associate. We serve 25,000 patients with a focus on clinical excellence and engagement with the modern NHS. Being located adjacent to the University of Leicester we do have a large student population.
We have a very strong team ethos and are looking for a committed and enthusiastic Senior Administrator who can bring their own valuable knowledge and skills to our Practice. We are a teaching Practice with a regular allocation of trainees, we also demonstrate strong performance in QOF, CQC and we play a lead role within our PCN.
Job responsibilitiesLine managingall administrative staff, supporting staff development, providing guidance anddirection, ensuring staff are up to date with mandatory training
Overseeing theadministration and support operations of the practice, ensuring staff achievetheir primary responsibilities
Scheduling and conduction staff appraisals as required
Reviewing andupdating all administrative and reception policies and procedures as required
Updating theappointment system to reflect leave and other approved absences
Providinginitial guidance and advice to patients who wish to verbally complain
Identifying anddelivering team training where required
Deputise for the adminteam lead during periods of absence
Developing,implementing and embedding efficient office processes and procedures
Person Specification Experience- Must have experience in a senior role
- Experience working with the general public
- To succeed in this role you must demonstrate the ability to communicate effectively, both verbally and in writing
- The ability to lead staff and act responsibly in the absence of the Team Leader
- Knowledge of Microsoft packages e.g. excel, PowerPoint and other IT Skills
- Worked in primary care
- Experience in line managing staff
