Job Description

A welcoming and well-regarded school is seeking a reliable and personable Reception & Administrative Assistant to join their team on a part-time, term time only basis. The role is based on site and will be working Monday to Friday, 2:30 pm - 4:30 pm. This is an excellent opportunity for someone who enjoys a varied role, combining front of house responsibilities with administrative support across multiple areas of the school.

The Role

Working from the school's reception area, you will act as the main point of contact during the afternoon period, ensuring a professional and friendly service for parents, visitors, and staff, while supporting key administrative functions.

Key Responsibilities
  • Reception Duties:
    • Act as the first point of contact for all visitors and telephone enquiries.
    • Welcome parents and guests, ensuring sign in procedures are followed.
    • Manage incoming emails and general enquiries.
    • Maintain a professional and efficient reception service.
  • Nursery Administration:
    • Prepare and issue invoices.
    • Monitor availability and send out offers.
    • Arrange visits and respond to enquiries.
    • Chase outstanding payments.
  • Lettings Administration:
    • Review site availability for external hire.
    • Ensure all hirer documentation is accurate and up to date.
    • Raise invoices and follow up on payments.
    • Coordinate site visits.
  • Sports Club Administration:
    • Create and maintain registers.
    • Set up payment items on ParentPay.
    • Monitor and chase payments from parents.
  • Training Administration:
    • Maintain staff training records and matrices.
    • Organise and schedule training sessions.
Ideal Candidate

The successful candidate will be organised, approachable, and confident managing a varied workload. You will demonstrate:

  • Previous experience using a school MIS system (Arbor experience would be advantageous).
  • Strong Excel and general IT skills.
  • Excellent communication and interpersonal skills.
  • A professional and friendly manner when dealing with parents and visitors.
  • Strong organisational skills with a proactive approach.
  • The ability to handle confidential information with discretion.
