A newly established independent secondary school for boys in NW London is looking for an administrator who will be responsible for ensuring the smooth and efficient day-to-day running of the school. This will require comprehensive administrative, organisational and operational support across all areas of school life.

Key Responsibilities Front Office and Reception
  • Act as the first point of contact for parents, visitors and external agencies
  • Manage telephone, email and in-person enquiries in a professional and welcoming manner
Pupil Data and Reporting
  • Maintain accurate and up-to-date pupil records and databases
  • Produce reports relating to attendance, attainment and other school data as required
  • Ensure compliance with data protection and confidentiality requirements
Administrative Support to Headteacher / Governors
  • Provide PA support, including diary management, correspondence and meeting coordination
  • Prepare documents, reports and presentations as required
Support for Teaching Staff
  • Assist teachers with printing, photocopying and preparation of classroom materials
  • Support basic design and formatting of documents, displays and resources
Office and School Operations
  • Manage school correspondence, including letters to parents and external communications
  • Order, monitor and maintain school supplies and resources
  • Liaise with contractors and service providers regarding building maintenance and repairs
  • Help ensure the school environment is safe, well-maintained and fully operational
General Responsibilities
  • Take initiative in identifying and resolving administrative and operational issues
  • Support all aspects of school administration as required, adapting to the needs of a small team
  • Contribute to the positive ethos and efficient functioning of the school
Person Specification
  • Highly organised with the ability to manage a varied workload independently
  • Strong interpersonal and communication skills
  • Strong written English skills, with the ability to independently draft, edit and proofread letters, reports and official school documentation and communication
  • Proficient in IT systems and administrative software
  • Discreet and trustworthy when handling confidential information
  • Flexible, proactive and solution-focused
