Victoria Mill Medical Practice has a fantastic opportunity for a Referral Clerk to join our team for 30 hours per week. This is an essential front-line role at the practice, providing an efficient comprehensive secretarial and administrative support service to the wider practice team.
Supporting our Doctors and Managers speaking to patients on the telephone and face to face, dealing with queries, typing referral letters, amongst other many other essential tasks. This is a varied, interesting and highly valued role,
You should possess strong organisational skills, good time management, and excellent verbal and written communication skills.
Main duties of the jobYou will be part of a team that provides a secretarial and administrative service to the GP's Managers and other Clinical team members which will involve, but not exclusively be limited to;
Typing letters.
Answering Patient queries by phone, email or face to face.
Cancelling and reinstating appointments as necessary (On EMIS)
Booking appointments for Patients (On EMIS)
Attending and minuting meetings (As requested by Managers)
Reports
About usOur team comprises of salaried GP's Nurses, ANP's NA's Manager's, Senior Administrators and Reception / Admin staff.
All of our CLinical team are supported by a well established management and admin team.
Job responsibilitiesPurpose of post
To provide a comprehensive secretarial service to all GP's and Managers in the practice ensuring that the secretarial function is organised and performed to the high standards of accuracy and efficiency to the best interest of the Clinicians. Supporting the Managers in the many tasks/ functions that enable the practice to develop and maintain standards. Plan and Prioritise tasks working effectively to achieve and maintain a high standard of patient care. The postholder will show respect and regards to confidentiality of patient information at all times. In addition to this, it is essential that:
Distribution of documents is undertaken efficiently and promptly
Person Specification Qualifications- GCSE Grade A to C in English
- Proficient IT skills (e.g., MS Office) and experience in data entry.
- Previous experience in a clerical or administrative role, ideally within a health setting (NHS or private).
- Excellent telephone manner and interpersonal skills for handling patient queries professionally.
- Strong attention to detail and ability to work under pressure
- Knowledge, Skills Training and Experience
- Theoretical and practical knowledge
- typing qualifications at least RSA2
- Medical terminology
- Competence in written and spoken English
- Knowledge of EMIS clinical system.
- Knowledge of Word processing and Spread sheets
- planning and prioritising own workload
