We are seeking an experienced and highly skilled Receptionist / Secretary to serve as the first point of contact for our organization. The ideal candidate will combine exceptional administrative skills with excellent communication abilities.

Requirements
  • Experience: 3 years of proven track record as a receptionist and secretarial roles in a company
  • Qualification: Minimum of a Bachelor's Degree in an administrative course or related discipline
  • And a master's degree in communication or a related field is an advantage.
  • Proficiency in AI-powered office tools and digital communication platforms.
  • Verbal/written communication skills.
  • Friendly yet professional demeanor
  • Highly organized, detail-oriented, and proactive.
Key Responsibilities
  • Perform secretarial duties for our directors.
  • Manage front desk operations, including welcoming visitors and handling inquiries.
  • Maintain organized schedules, appointments, and meetings.
  • Prepare, edit, and manage correspondence, reports, and official documents.
  • Utilize AI tools to streamline office tasks and improve workflow efficiency.
  • Coordinate with internal teams and external stakeholders to ensure smooth communication.
  • Maintain confidentiality of sensitive information at all times.
  • Administrative Support: Provide general administrative and clerical support, including filing. Sort and distribute incoming mail and deliveries.
  • Appointment Scheduling: Schedule and coordinate appointments for staff and meeting rooms.
  • Record Keeping: Maintain accurate records of visitor logs, phone messages, and other relevant information.
  • Collaboration: Work closely with other staff members to ensure smooth office operations and provide support as needed.
