Job Title: Office Administrator/Receptionist
Hourly Rate: £13.44
Employment Status: Permanent - 23 Hours Per Week.
Working Pattern:
- Wednesdays 8:30am - 5:00pm
- Thursdays 8:30am - 5:00pm
- Fridays 8:30am - 4:00pm
Location: Midland Mencap Head Office, Pinewood, B32 3BZ
Accountable to: Office and Facilities Manager

What Does A Receptionist/ Administrator Do?Receptionist/Front of House
Responsible for the front of house area ensuring all calls and visitors are dealt with efficiently in a professional, courteous and friendly manner.
Take full and appropriate messages and pass on to the relevant person in a timely manner.
Ensure visitors sign in/out and display a visitor badge whilst on the premises.
Open, log and distribute incoming and outgoing post daily ensuring that all outgoing post is delivered to the Post Office.
Ensure the reception area, kitchen and meeting rooms are kept tidy.
Keep information area tidy and ensure stocks of literature are available and displayed on the noticeboard.
Assist with duties such as copying, scanning and other duties as required.
Assist with driver documentation and training records.
Ordering of office supplies.
Ensure that administration equipment including photocopier, fax and telephone system is kept in working order.
Ensure information is stored and maintained in accordance with General Data Protection Regulations.
Other duties as identified by the Office and Facilities Manager and other managers.
Report any issues to the Office and Facilities manager.
OtherTo support meetings and take minutes when necessary.
Ensure all information handled is stored and maintained under GDPR guidelines and confidentiality is observed and maintained.
Maintain routine correspondence.
Use of equipment including, but not limited to, photocopying, scanning, laminating and binding.
Dealing with telephone queries, booking rooms and maintaining electronic calendars via Microsoft Outlook.
Any additional administrative duties that may arise to support the successful delivery of the organisation.
Personal skills and qualitiesA commitment to the aims and objectives of Midland Mencap.
Excellent communication skills both oral and written.
Good organisational skills - accurate and thorough.
IT literate - experience of using Microsoft Office, including Word, Excel and Outlook in an office environment.
Good time management skills with the ability to prioritise workload and to work calmly under pressure and re prioritise when necessary.
The ability to adapt and manage fluctuating levels of work in an ever changing environment positively, calmly and effectively.
Tact, discretion and respect for confidential information.
A willingness to attend training as required.
To be approachable and friendly.
Ability to work on own initiative, with light supervision, or as part of a wider organisational admin team as needed.
To have a flexible approach to the role.
