RECEPTIONIST - JOB DESCRIPTION

Reports To: Chief Administrator

Qualifications

Responsibilities and Job Tasks
  • Interacting with visitors to ESU 7 - Greet visitors, determine visitor needs & direct them to the correct department.
  • Telephone - Routing multi line telephone calls, and taking messages.
  • Communicating with persons outside the organization - Represent the organization to customers via person, written, telephone, email or other digital means.
  • Interacting with computers - Use computers and systems to set up functions, enter data, or process information, including word processing, spreadsheet, and desktop publishing software.
  • Communicating with supervisors or peers - Provide information to supervisors and co workers by telephone, written, e mail, or in person.
  • Performing clerical activities - Maintain information files, process paperwork, fill out forms and purchase requisitions, maintain digital calendars, process invoices.
  • Getting information - Observe, receive, and otherwise obtain information from relevant sources.
  • Documenting/recording information - Enter, record, store, or maintain information electronically or in written form, including timesheets, data entry, meeting materials, and messages.
  • Establishing and maintaining interpersonal relationships - Develop constructive and cooperative working relationships with others and maintain them over time.
  • Organizing, planning, and prioritizing work - Develop specific goals and plans to prioritize, organize, and accomplish work.
  • Working directly with the public - Serve staff, school personnel, and members of the public.
  • Scheduling work and activities - Schedule events, programs, and activities, including arranging video/teleconference calls, meetings, appointments, and meeting facilities.
  • Updating and using relevant knowledge - Keep up to date technically, apply new knowledge, learn to operate new office technologies as they are developed and implemented.
  • Making decisions and solving problems - Analyze information and evaluate results to choose the best solution and solve problems.
  • Monitoring processes, materials, or surroundings - Monitor and review information from materials, events, or the environment to detect or assess problems.
  • Mail - Open daily mail and distribute it to staff.
  • Other duties as assigned.
