Job Description
Overview

The role is that of a front of house team member.

Responsibilities
  • Respond to patient queries and liaise with the wider primary care team.
  • Manage appointment requests and signpost patients to our range of services; generally deal with all front of house requests.
  • Maintain patient records and ensure patient confidentiality.
  • Utilise information systems to support efficient workflow processes.
  • Email, scan and code clinical correspondence; process prescription requests in a timely manner.
  • Support patients with health promotion and recalls, including recall campaigns.
  • Encourage uptake of digital tools to support patient self-care (e.g., eConsults, Ask First, NHS Digital App).
  • Participate in mandatory training, annual appraisal and continued education, learning and development.
  • Communicate with a wide range of people in a kind, professional and caring way; work effectively as part of a team.
  • Demonstrate a willingness to learn and progress with a can do attitude.
  • Experience in the NHS is welcome but not essential; effective IT skills are an advantage; GP practice systems knowledge is desirable but training will be provided.
Main Duties

Main duties of the job include the items listed below as directed by the senior receptionist/practice manager and may evolve with workload and staffing.

  • Opening up/locking up of practice premises and maintaining security per Practice protocols.
  • New patient registrations management.
  • Processing and distributing incoming mail; taking messages and passing on information.
  • Filing and retrieving paperwork, Lloyd George Files, and registration data.
  • Computer data entry, data allocation and collation; processing and recording information per practice procedures.
  • Initiating contact with and responding to requests from clinicians, management, patients, other team members and associated healthcare providers.
  • Managing information requests and providing updated administrative details regarding care navigation.
  • Providing clerical assistance to practice staff (word processing, data processing, filing, photocopying, scanning).
  • Dealing with patient queries to resolve issues and support the clinical team.
Governance and Safeguarding
  • Work with clinical leads, Designated Nurses and Doctors, and allied health professionals to ensure statutory duties for the practice population are implemented.
  • Liaise with professional leads from other agencies to support registrations activities.
  • Work with clinical leads and the PCN/ICB team to provide advice and support to GPs and staff regarding registrations management.
  • Promote good practice through partnerships with practice leads and daily reception tasks; contribute to robust monitoring and audits of the registrations process.
  • Contribute to the development of local best-practice health standards and disseminate updated information regarding registrations management within General Practice.

Experience and Qualifications
  • Reception or customer care experience is essential.
  • Excellent spoken and written communication skills.
  • PC skills with the ability to use Word, e-mail and basic IT tools.
  • Ability to work within processes and procedures.
  • Experience of working in primary care or a GP practice is desirable; training in GP practice systems will be provided.
