Our friendly general practice is seeking a part time receptionist / administrator to join our team to provide a good standard of primary care service to our patients .
Main duties of the jobGood communications , friendly personality, pleasant and a desire to assist patients with their problems and queries .
The job includes referrals and administrative duties to ensure the smooth running of the practice
About usOur practice consist of 3 GPs , 2 Practice Nurses and a HCA . The Practice also has the services of a Physiotherapist , Pharmacist and a Physician Associate
Job responsibilitiesJob responsibilities:
- Knowledgeable in the use of the telephony system and Emis Clinical Web
- Booking appointments for patients in the responsible slots available
- Answering the telephone and ensuring care navigation protocols are followed to enable an appropriate appointment or referral
- Accepting requests for repeat prescriptions, checking prescription box for repeat prescription requests
- Advising and encouraging patients to register on the NHS app or to use the practice website to book appointments, order repeat prescriptions and for any other queries
- Sorting the manual post
- Monitoring correspondences on the practice email ensuring it is read filed in the proper folders for further actions and completion by nominated staff members.
- Photocopying insurance medicals and reports whenever necessary
- Request from Patients via Accurx are dealt with appropriately or tasked to the clinicians appropriately
- Sending messages to patients according to GDPR rules via Accurx and e-mails
- Participating in any audits
- Filing results, letters etc from emails and any other relevant documents into patients' notes
- Charging patients the appropriate amount for private work, providing a receipt to the patient and recording the charge in the petty cash book
- Recall of patients who needs to attend clinical management of patients in the QOF registers
- Recall of patients for child immunisations , screening procedures , flu and other immunisationsMaintaining the safeguarding ,learning disability ,mental (SMI)register.
- Attending Multi Disciplinary meeting according to nominated roles.
- Participating in PPG meetings , Safeguarding and others
- Arranging staff weekend and bank holiday rota
- Responsibility for organising cover for holidays, sickness and compassionate leave
- Helping new reception staff and training of new reception staff
- Previous experience in a receptionist, administrative, or customer-facing role
- Experience of dealing with members of the public in a busy environment
- Experience handling confidential and sensitive information
- Previous experience working in a GP practice or NHS environment
- Experience using clinical systems such as EMIS Web or SystmOne
- Experience with appointment systems, repeat prescriptions, and patient queries
- GCSE or equivalent in English and Maths
