Job Description

The primary duty of this role is to provide reception support during core hours, this includes answering incoming telephone calls, managing patient enquiries and ensuring effective communication within the practice the role also supports working within the prescription team

Main duties of the job

Key responsibilities

  • Answering calls in a timely manner
  • Taking accurate messages for clinicians and other members of the team
  • Receiving and processing requests for home visits, ensuring these are communicated appropriately
  • Liaising with external professionals as required
  • Using the clinical system (EMIS) to support daily tasks (full training will be provided
  • Scanning and document management
  • Supporting prescription clerk duties, including handling prescription queries, issuing repeat prescriptions and handling administrative tasks related to medication requests

This is a varied role requiring strong communiction, organisation and teamwork skills, experience benefivcial or full training provided to the right candidate

Job responsibilities
  • Ensure an effective and efficient reception service is provided to patients and any other visitor to the practice.
  • Deal with all general enquiries. This requires a helpful attitude even when experiencing negative, unresponsive and sometimes verbally abusive behaviour from patients.
  • Communicate test results using taught skills and ensuring accuracy
  • Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
  • Receive and make telephone calls as required. Phones to be answered promptly. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
  • Keep your working environment clean, tidy and free from clutter at all times.
  • Ensure that you provide an efficient, professional and detailed handover to the member of staff taking over from you before you leave your duty.
  • Action repeat prescription requests as per practice policy as and when required. (Electronic Prescribing is in operation at the Practice.)
  • Action on a daily basis electronic workflow and ensure that tasks are kept up to date.
  • Enter patient information on to the computer in a timely manner and as appropriate to ensure patient safety at all times.
  • Manage patient requests for advice, home visits and appointments as per practice policy.
  • Maintenance of patient clinical records (electronic and paper) notes etc for example -Retrieve and re-file records as required: Ensure correspondence, reports, results/scanned items etc are filed promptly and in the correct records; all recent correspondence is available when patients are seen.

Person Specification Experience
  • Experience of working within General Practice
  • Excellent verbal and telephone skills required
  • Experience of working in a GP Practice
  • Excellent verbal and telephone skills required
Qualifications
  • GCSE's grade A to C in English and Maths
  • Proficiency in Microsoft Office and email systems and EMIS
  • Previous Experience in administration, customer service or General Practice is preferred
  • Excellent verbal and written communication, professional telephone manner and strong organisational skills and the ability to remain calm under pressure
  • NQV in Customer Services
