To provide support in both the Reception and Administration areas. To provide administrative assistance to the Managing Director and Finance Director and other senior personnel within the organization. WHAT YOU WILL BE DOING Maintain Reception area, providing support to Ticketmaster Ireland's growing business, in welcoming our clients. Logging the secure post each morning and ensuring signed delivery from the various departments. Greeting and recording all visitors and making refreshments where appropriate. Booking and arranging couriers when required in addition to those scheduled. Other administrative work as appropriate and needed. Facilities Oversite of the Dublin, Blanchardstown and Belfast offices, arranging contractor visits including cleaning staff, Air-conditioning, Electric, Plumbing etc Ensuring meeting areas are in good order Regular inspections of facilities, office furniture, electrical and mechanical infrastructure Ensure that there is good communication between Ticketmaster, other tenants in the buildings and the Landlords. Obtain bids for work and assign workers to duties such as maintenance, repair, cleaning, or renovation. Events Organising and co-ordinating staff events including employee communication events, customer training sessions and employee social occasions onsite and offsite. Support various departments in arranging client visits Hotel and Airline Bookings for Ticketmaster personnel Organising accreditation lists for personnel working on site at events Overseeing and supporting staff ticket purchase Health and Safety Liaise with Human Resources to ensure the company meets, and where possible exceeds, health and safety regulations as directed by the standards. Equipment Stock control administration for print consumables and general office supplies. Monitor equipment and appoint maintenance personnel as required. Oversee and direct maintenance personnel and workers engaged in equipment installation, facilities equipment repair, and preventive maintenance. Special Projects Assist with the planning, budgeting and scheduling of facility modifications including cost estimates, bid sheets, layouts, and contracts for both construction and acquisition.
