Job Description
Receptionist - Gynaecology Department

As the first point of contact for patients attending the department, you will play a key role in creating a welcoming and supportive environment. You will greet patients and their families on arrival, ensuring they are checked in promptly and directed appropriately.

You will need to be highly organised, able to work effectively in a busy environment, and demonstrate excellent communication skills. This role is essential in supporting clinical staff and ensuring patients receive a high standard of care throughout their visit.

Key Responsibilities
  • Provide a professional, friendly and empathetic reception service to all patients and visitors
  • Act as the main point of contact, responding to queries in person, over the telephone and via email
  • Prepare clinic areas and ensure all administrative processes are completed accurately
  • Carry out a range of administrative duties to support the smooth running of the department
  • Work closely with clinical teams to deliver an efficient and patient-focused service
Main duties of the job
  • To receive patients/visitors to the Department in a friendly and courteous manner, ensuring they are appropriately informed.
  • To carry out a range of office duties on a daily basis. This will include the sending and receipt of e mails, answering patient queries over the telephone, booking appointments from referral letters, filing and other regular tasks.
  • Respond to telephone enquiries, e mails and answer phone messages from GPs, patients and their families and trust staff, acting appropriately in a timely, polite and helpful manner.
  • To ensure case notes are available and prepared in accordance with laid down procedures for designated outpatient clinics.
  • Scanning at attaching e referrals into patients' individual electronic records.
  • To communicate professionally with GPs/Practice Managers/Practice staff and all hospital staff with regards to the service, referrals and appointments systems.
Qualifications & Training
  • GCSE Grade C or above in English and Maths (or equivalent).
  • Educated to A-Level (or equivalent) or equivalent experience.
Knowledge & Experience
  • Previous experience of working in a customer or patient focused environment.
  • Experience working in an administrative or reception setting.
  • Experience working within the NHS or similar healthcare settings.
  • Experience of electronic patient administration systems.
  • Knowledge of medical terminology.
Specific Skills
  • Computer literate - able to use Microsoft Office packages effectively.
  • Able to prioritise own workload to achieve deadlines.
  • Able to handle conflict effectively and differences of opinions maturely.
