Job Description

An exciting opportunity has arisen for a Receptionist to join our busy admin and clerical team within the Emergency Department. Full/Part time hours considered.

We are looking for a self motivated individual who can work both well within a team and also can demonstrate the ability to use their own initiative. You will be responsible for the registration of patients attending the department and assisting our clinical colleagues with administration duties. Attention to detail and flexibility to work across a 24 hour shift pattern is essential.

Knowledge of EPR and previous experience of having worked in a similar environment desirable.

Various shifts - to include late shifts, early shifts, evenings, nights and weekends.

Main duties of the job

The post holder will be responsible for delivering an effective and efficient support service to the Emergency Directorate, to assist in the provision of quality patient care. This will include comprehensive clerical and administrative duties that support the administrative elements of the emergency patient pathway, along with receptionist responsibility to the Emergency Department, both Adult and Paediatric areas.

The post holder is responsible for the first line of contact with families and professionals, and will provide assistance and reassurance to distressed or anxious patients/visitor. To co ordinate and ensure the smooth registration of patients attending the Emergency Department and designated outpatient clinics. To assist in the preparation of the administration paperwork and attend the clinical board rounds throughout various times.

Act as a multi-skilled worker within the Emergency Care Directorate adapting to the competing demands of the service.

Job responsibilities
  • Register all Emergency Department patients demographic details on Firstnet in real time.
  • Notify medical records of any records that have been duplicated.
  • Responsible for updating records following a deceased patient and informing Medical Records.
  • Ensure all documentation is prepared for the Coroners office team.
  • Data cleanse Firstnet at the point of registration with the latest patient demographics. Use the search engines provided (SCR/Open Exeter) to obtain patient information from the national database.
  • Correctly record the address/contact details of all overseas patients in line with current protocols and inform the Trusts overseas team.
  • Case notes are made up for newly registered patients and amalgamated where necessary.
  • Follow up appointments are made for several Emergency Care clinics and Trust Outpatient Clinics on EPR.
  • All tasks to be carried out in accordance with relevant departmental trust standards, policies and procedures.
  • All x ray reporting work on a daily basis has been checked back through Firstnet and all outpatients appointments have been made correctly. Any discrepancy in the patient's appointment must be amended and the patient informed of any changes.
  • All documents required for the Emergency Outpatient clinics are complete and available for the start of the clinics and take appropriate remedial action if not.
  • Greet patients in a courteous and appropriate manner.
  • All patients are checked in and out of clinics and, if required, further follow up appointments are made within the appropriate time span indicated.
Qualifications
  • NVQ Level 2 in Business Administration/Customer Care or equivalent experience.
  • GCSE or equivalent.
  • Experience of healthcare administrative systems and processes.
