An exciting opportunity has arisen within the Head, Neck and Orthopaedic Directorate for a Receptionist / Clerk to be primarily based in Podiatric Surgery which is based at Ruckhall Lane in Belmont, Hereford. The successful postholder may need to work within other areas in the Division so flexibility and a positive, adaptable approach to service needs are essential.
The post holder would need to be available between 07:30 - 17:00 however, exact hours can be discussed and agreed upon appointment.
The Podiatric Surgery Department provides both inpatient and outpatient services, offering the opportunity to work alongside a diverse range of healthcare professionals in a dynamic and supportive environment.
This is an exciting opportunity to become part of a small, friendly and highly collaborative team where no two days are the same. You will play a vital role in ensuring the smooth running of the service, acting as a key point of contact for patients, visitors and colleagues.
Main duties of the jobAdministrative Responsibilities
Provide a comprehensive clerical and reception as required, undertaking a variety of work related correspondence, photocopying and filing according to the requirements of the service.
To electronically book, retrieve and track patient case notes when necessary and record the movement of notes on PAS.
- Ensure that notes are complete and that correspondence and investigation results are filed correctly before the notes are returned to Health Records.
Opening of internal notes, distribute as appropriate and book through PAS.
To gain an understanding and knowledge of RTT if required.
Sending out letters/reports/notes to other departments within the hospital.
To admit, arrive, discharge, book appointments and amend demographic patient details as necessary.
To answer the telephone in a courteous, professional and pleasant manner at all times, within the agreed timescale and according to the standard Trust greeting. Ensure that messages are relayed and actioned in an appropriate and timely fashion.
To greet patients in a professional manner upon arrival, provide the relevant information to them and direct them to the appropriate waiting areas and notify patients of extended waiting times if delays occur.
To telephone, monitor, maintain and record data for attendance (DNA) levels as necessary.
Education & Qualifications- GCSEs (or equivalent) in English and Maths at Grade C/4 or above
- Level 2 in Business Administration, Customer Care (or equivalent experience)
- Effective verbal and written communication skills
- Good IT skills, including use of Microsoft Office, Outlook and Google Docs.
- Accurate data entry and record keeping
- Ability to follow procedures and work within defined protocols
- Understanding of confidentiality and data protection principles
- Previous experience in an administrative or receptionist role
- Experience of dealing with the public both face to face and by phone
- Experience using MAXIMS or other hospital systems
- Experience in a healthcare or NHS environment
