Job Description
As a Receptionist/ Administrator, you will play a vital role in representing the practice, giving a first class service and supporting the wider practice team in delivering high quality patient care.
Main duties of the job- Book appointments over the telephone and face to face using the Systm1 computerised system.
- Ensure the agreed practice procedures regarding appointment systems, booking times are adhered to and explained to patients accordingly.
- Ensure that patients are seen by the most appropriate person for their own individual needs.
- Complete all relevant documentation.
- Offer general assistance to the practice team, patients and visitors to the practice either in person or on the telephone.
- Adhere to QOF protocols.
- Ensure requests for prescriptions are actioned, where possible within 48 hours.
- Action requests for ambulance transportation and record accurately.
- Provide holiday cover for colleagues as required.
- Ensure communication to and from patients, other members of the primary care team and external agencies are processed accurately and within the necessary timescales.
- Record requests for home visits appropriately.
- Act as chaperone as requested (full training given).
- Ensure reception and waiting areas are kept neat and tidy.
- Ensure the telephone system is operational at the beginning of each day.
- Open the premises and make all necessary preparation to receive patients at the start of the day.
- Secure and alarm the premises at the end of each day.
- Ensure familiarity with all aspects of the appointment system.
- Book appointments over the telephone and face to face using the Systm1 computerised system, ensuring the agreed practice procedures regarding appointment systems, booking times are adhered to and explained to patients accordingly.
- Ensure that patients are seen by the most appropriate person for their own individual needs (e.g., Practice Long Term Condition Nurse and Nursing Associate).
- Explain the practice arrangements and formal requirements to new patients and those requiring temporary cover.
- Complete all relevant documentation.
- Undertake practice administration including the processing of results, correspondence, notifications and tasks.
- Attach documents to patient records, adhering to deadlines.
- Accurate read coding of documents, adhering to QOF protocols.
- Ensure requests for prescriptions are actioned, where possible within 48 hours.
- Action requests for ambulance transportation and record accurately.
- Provide holiday cover for colleagues as required.
- Excellent attention to detail and accuracy.
- Strong organisational and time management skills.
- Ability to work independently and as part of a team.
- Good IT skills and willingness to learn new systems.
- Enhanced DBS clearance.
- Full UK driving licence.
- Flexibility to provide cover during colleagues' annual leave and sickness.
- Previous experience of working with the public in a face to face setting.
- Knowledge of SystmOne.
- A good understanding of education, ideally a minimum of GCSE grade A to C in English and Maths.
