Job Description

Crown Medical Practice are currently looking for a part time, Reception Supervisor to join our fantastic team. We are looking for an excellent communicator with good IT and administrative skills to supervise our very busy reception team at Crown Medical Practice. The hours of work will be 22.5 per week, Monday to Friday 1pm until 5.30pm, these are fixed hours and are not subject to change.

Main duties of the job

You will carry out the duties in the job description, which includes:

Managing the reception team to ensure smooth, professional daily operations.

Main responsibilities include creating staff rotas, training team members, handling customer complaints and serving as the primary point of contact for visitors.

Core Responsibilities include:-

Team Leadership: Supervising, training and mentoring reception staff, appraisals, managing shifts to ensure adequate cover during all business hours.

Leading by Example: Greeting patients and being the first point of escalation for complex queries and complaints.

Operational Oversight: Ensuring the reception area operates efficiently, presenting a professional environment and managing day-to-day administrative tasks.

Liaising with other staff including clinicians to ensure an excellent patient experience.

Compliance: Ensuring reception staff adhere to health and safety regulations, emergency procedures and data protection/confidentiality policies.

Key Skills:- Excellent communication skills, remaining calm under pressure resolving conflicts quickly. Strong multitasking and time-management capabilities.

Experience:- Previous experience in a patient/customer facing role, ideally with prior team leadership and supervisory capabilities. Computer skills are essential to the role.

Computer skills are essential and you will need to be able to step in to the reception role if required, answering the telephone, booking appointments, dealing with tasks, referrals, post (incoming and outgoing) and other key duties.
