RA Agent / IG Support Officer

The Information Governance Unit are looking for a dynamic, hard-working, individual to join our busy Information Governance Unit. Candidates must have excellent organisational, communication and interpersonal skills. Experience of minute taking and a good working knowledge of Microsoft Office applications is a must. The successful applicants will form part of a hardworking team and be expected to partake in weekly IG presentations and audits.

A full UK driving licence is essential for this post. Please note that an international driving licence is not accepted.

Main duties of the job

The postholder will be responsible for providing RA (Registration Authority) Agent and general administration support to the Registration Authority / Information Governance Unit. This includes the registration of users, printing of smartcards and maintenance of system access levels as well as providing an RA Service to staff at Rugby St Cross. This also includes a range of duties in support of the Information Governance Unit.

Job responsibilities

The postholder will be responsible for providing RA (Registration Authority) Agent and general administration support to the Registration Authority / Information Governance Unit. This includes the registration of users, printing of smartcards and maintenance of system access levels as well as providing an RA Service to staff at Rugby St Cross. This also includes a range of duties in support of the Information Governance Unit.

  • To provide the daily operation of Registration Authority (RA), Position Based Access Control (PBAC).
  • To co-ordinate a personal electronic diary with other RA/IG team staff diaries in order to ensure adequate cover for the RA function to ensure an efficient and timely RA service to all users.
  • To support users; face to face, by telephone and by e-mail.
  • RA Agent duties involve:
    • registering users for smartcards
    • checking proofs of identity in line with national policy
    • taking photographs of users
    • troubleshooting and resolving smartcard issues
    • revoking or amending access rights as requested
    • running reports from the National Spine
    • undertaking regular maintenance checks of the smartcard printer
    • keeping abreast of all administration as part of the RA service
    • informing users of their responsibilities for the use of a smartcard
    • regularly auditing the use of smartcards across the organisation
    • dealing with any incidents involving the misuse of a smartcard
  • Co-ordinate the receipt of and responses to RA Agent, Sponsor and user enquiries, providing problem solving support and follow-up training where appropriate.
  • Contribute to implementing and monitoring project plans to ensure staff are registered in time to access smartcard driven ICT systems in line with required project timetables.
  • To undertake any training courses provided internally and externally related to the duties of an RA Agent and the IG support function of the role.
  • To maintain a complete, documented and robust documentation trail for all RA and RBAC/PBAC processes which complies with national and local guidance.
  • To assist the RA Manager to meet Information Governance (IG) standards, by undertaking IG training, giving advice to users, auditing RA paperwork and responding to any other reasonable request made by the RA Manager.
  • To ensure good communications are established and maintained with all smartcard users.
