We are a busy friendly practice in Dartford, looking for a motivated and reliable P/T Receptionist/Administrator for approximately 25-30 hours per week to join our team. Scanning experience would be advantageous; however, full training will be provided for the right candidate.
Main duties of the jobYou will provide a professional and courteous front of house service to patients. Booking and cancelling appointments and handling telephone enquiries. You will be expected to carry out general administrative duties including prescriptions, scanning and processing documents. New Registrations along with helping patients to complete the Anima online triage form.
About usWe are a friendly, well established Practice with approximately 9600 patients. Our Team consists of 2 GP Partners, 3 Salaried GP's, 2 Nurse's, Physiotherapist, Pharmacists and a HCA, supported by Receptionist staff and a Secretary
Job Description Key Responsibilities- Maintain a thorough understanding of, and adhere to, all Practice procedures and protocols, ensuring knowledge is kept up to date
- Work consistently in accordance with written protocols
- Retrieve and file patient notes as required
- File incoming post within medical records where necessary
- Scan and upload letters to patient records
- Accurately code information from scanned documents onto patient records, as directed by GPs or in line with Practice protocols
- Record patient interactions appropriately, including telephone and in-person encounters
- Monitor and action tasks within Mail Manager, including setting recalls, contacting patients, requesting repeat tests, and booking appointments with the phlebotomist where required
- Contact patients by telephone on behalf of GPs and record outcomes accurately
- Welcome and assist patients in a professional and friendly manner
- Process repeat prescriptions in line with Practice protocols
- Issue completed prescriptions, ensuring patient identity is verified
- Provide cover across all reception positions as needed
- Maintain a good working knowledge of the Practice boundary area
- Communicate test results to patients in person or by telephone, following Practice protocols
- Send requested information via secure email in accordance with safe haven procedures
- Process appointment requests (both urgent and routine) via telephone and in person, in line with Practice protocols
- Cancel and rearrange appointments or clinics at short notice when required
- Manage and process home visit requests according to Practice procedures
- Candidates must be computer literate; however, full training on our EMIS system will be provided.
- Applicants must also be flexible and able to provide cover for sickness and holidays, sometimes at short notice.
- Previous experience is desirable; however, more importantly, candidates must be team players who are willing to learn and able to multitask effectively.
