What we are looking for

We are looking for a bright and ambitious Project Administrator to join our team and work closely with both our Project and Central Teams. You will play a key role in supporting accurate commercial and financial reporting, ensuring contractual and regulatory compliance across multidisciplinary major infrastructure projects.


This is a full-time role, with a strong presence in our London office (minimum 4 days a week), and offers the opportunity to contribute directly to the smooth delivery of some of our most exciting projects.


Role & Responsibilities

Larger Projects - Primary Role

  • Rapport support: Working with task owners to input fees, billing schedules, resource plans and subcontractor information
  • Timesheet completion: Ensuring timely and accurate recording, including from subconsultants
  • Application for Payment / Invoicing preparation
  • Expense preparation
  • Updating trackers of all project processes
  • Compliance: Assisting in the qualification and onboarding of subconsultants, including IR35 and H&S documentation (with support from Commercial and People Teams)
  • Filing: Ensuring project documentation is complete and accessible in advance of any client or statutory audit
  • Supporting project delivery and compliance processes
  • Timesheet completion monitoring
  • Invoicing
  • Compliance: Ensuring subcontractor appointments and relevant IR35 and H&S documentation are in place
  • Filing and record-keeping


Key Experience and Skills

  • Minimum 4 years' experience in a project support or administration role within the built environment (engineering/architecture preferred)
  • Experience using ERP systems (Rapport3 or similar)
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and SharePoint
  • High attention to detail and highly numerate
  • Fluent written and spoken English
  • Strong organisational and communication skills
  • Comfortable working in a fast-paced environment and managing multiple workstreams
