Procurement and Logistics Administrator

This fast expanding, successful and super-cool restaurant group are looking for an FF&E & Construction Procurement Admin to join their busy team, supporting Procurement and Logistics across projects throughout the EU, Middle East and US. This is an opportunity to work on iconic and bespoke projects with involvement from concept through to completion and an exciting time to be part of the success of the company.
Experience :
3+ years of experience in either Procurement, Finance or Logistics in the Interiors or Design sector
Responsibilities :
Procurement - Administration - Logistics
- Process all FF&E & Construction orders and invoices, working closely with Suppliers, Design, Construction and Finance team
- Organise all shipping and logistics for the UK, UE and overseas to include the creation of all documents and import / export procedures, researching local import regulations outside of the UK and organising project storage if required.
- Liaise with contractors and Design team to organise the installation of the FF&E, resolve any outstanding snagging or delivery issues.
- Build and accurately maintain all schedules, budgets and timelines optimising the supply chain.
- Organise project cash flow and payment runs with accounting teams.
- Reconcile all spend with Quantity Surveyor cost reports and Finance team. Closing project accounts and reconciling VAT invoices.
- Support the design team in setting up supplier trade accounts.
- Source FF&E or Construction requirements, working closely with Designers and Suppliers (no creativity involved)
- Save and record all certification including any relevant CE or FR documents.
- Maintain and update the supplier Bible and contact list
- Maintain the Studio office and UK storage facility, keeping it tidy and record/update the inventory.
Skills :
- High proficiency in Excel, Microsoft Office and Google Documents. Basic Adobe Photoshop & InDesign desirable.
Abilities :
- Outstanding knowledge of procurement and logistics process and costs.
- Good knowledge of FF&E materials, quantities and suppliers.
- Detail driven and strong analytical thinking.
- Pragmatic with good problem-solving skills.
- Pro-active planner who is unfazed with 'Plan B, C and D' solutions.
- Excellent communication and negotiation skills.
- Good initiative as well as an ability to follow instructions.
