An exciting opportunity has arisen in the private patient department for a Private Patient Co ordinator on a permanent basis for 37.5 hours per week, Monday to Friday 08:30 am to 04:30 pm.

Tetbury Hospital is rated "Good" by the Care Quality Commission and comprises a well equipped theatre, purpose built procedure room, outpatient department, minor injuries and illness unit and X ray department. Main duties of the job

Provide an exemplary private patient focused service to support patients in booking their private healthcare appointments and day case surgery, to ensure planned admissions are managed effectively and efficiently.

The post holder will work independently using initiative and apply a high degree of confidentiality to their work.

Job responsibilities

1. Communication/Customer Service and Team Working

Excellent verbal communication skills, using tact, discretion, empathy, and sensitivity to private patients.

Communicate with staff, consultants, medical secretaries, private patients, and relatives in an appropriate manner, both in person and on the telephone, ensuring they receive a responsive and supportive service at all times.

Provide complete administrative services to the private patient department.

Present a positive image by always being welcoming and maintaining a professional attitude.

2. Planning and Organising

Prioritise telephone calls and email enquiries and act as necessary.

Ensure all private patient notes are prepped and distributed to relevant departments in a timely manner.

Co ordinate private patient appointments and admissions with consultants, medical secretaries, and departmental teams.

Organise tests and pre operative assessments. Maintain a record of all private patients appointments and admissions.

Work with the Business Development Manager to develop processes to refine the private patient service.

Prioritise and organise own workload to meet the needs of the private patient service.

3. Administration

Store confidential information on relevant computer systems.

Manage and maintain email inbox efficiently, responding to private patient enquiries, medical secretaries, consultants and staff teams.

Open and action post as required.

Liaise with the Accounts Department regarding package prices for private patient procedures.

Take payments from private patients wishing to pay for private health care services, over the telephone or in person.

Ensure an efficient private patient notes filing system is maintained.

Provide the Business Development Manager with information regarding key trends and conversion from outpatient to theatre.

Any other responsibilities as reasonably directed by the Line Manager.

Person Specification Communication Skills
  • Able to apply high level of written and spoken English.

Qualifications
  • GCSEs at grade A C (or equivalent) in English and Maths.
  • Intermediate Microsoft Word and Excel (or equivalent).
  • RSA Level II Typing (or equivalent).
Experience
  • Excellent typing, minute taking skills, and knowledge of Excel and Word.
  • Excellent organisational skills.
  • Excellent written and verbal communication/interpersonal skills.
  • Effective time management and prioritisation skills.
  • Competent user of Microsoft Word and Excel.
  • Ability to deal with frequent interruptions and unpredictable pattern of work.
  • Understanding of confidentiality and data protection act.
  • Experience of working in a private patient healthcare setting.
Other
  • Be aware of all aspects of statutory responsibilities such as Health and Safety, Data.
  • Use the VDU for periods of time.
