The Opportunity / Who We SeekWe are seeking a highly organised and professional Personal Assistant / Receptionist to support day-to-day office operations while providing administrative assistance to the Managing Director and senior operations team of our Builders Merchant division. This role combines front-of-house responsibilities with executive support, requiring excellent communication skills, discretion and the ability to multitask in a fast-paced environment.
ResponsibilitiesReception Duties:
- Serve as the first point of contact for visitors, clients and staff
- Answer, screen and direct incoming calls and emails
- Manage meeting room bookings and prepare rooms for meetings
- Handle incoming and outgoing post and deliveries
- Maintain a tidy, welcoming reception area
Personal Assistant Duties:
- Provide administrative support to Managing Director, Sales Director, Regional Directors and wider Operations Team
- Manage calendars, schedule meetings and coordinate appointments
- Prepare documents, reports, and presentations for executive briefings.
- Take meeting minutes and follow up on action items
- Handle confidential information with discretion
- Proven experience in a receptionist, PA or administrative role
- Experience supporting senior leadership in a corporate environment
- Excellent organisational and time management skills
- Demonstrated ability to interact with and influence contributors at various levels to ensure the timely delivery of information for critical business reports and presentations.
- Strong verbal and written communication abilities
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Professional, friendly, and approachable manner
- Ability to multitask and prioritise effectively
