Job Description

Artmax is seeking a Personal Assistant/Office Administrator to join their Directors' Office team in Dublin.

The Director's Office team serves as right hand to Chairman / CEO of the family office, managing daily tasks and personal requests. As a Personal Assistant supporting a family office, you will operate in a world where standards are uncompromising, expectations are elevated and every detail matters. You will join a trusted Family Office known for high standards, privacy and excellent service.

Job Description
  • Provide full spectrum of secretarial support to the Chairman / CEO's office.
  • Coordinate family and household affairs.
  • Manage inbox and handle confidential information with utmost discretion.
  • Organise travel for Chairman's business and family trips including flights, transport, hotels, itinerary planning, visa applications, etc.
  • Assist Office Manager in handling office operations including office supply procurement, company equipment management and facility management, etc.
  • Assist in coordinating courier services.
  • Coordinate with property management agencies, vendors, contractors of Chairman's residential properties regarding property maintenance, renovation, etc.
  • Assist Management in liaising with internal and external parties for the company's business activities and project management, etc.
  • Collaborate within the Director's Office team and with different teams across multiple time zones, maintaining a harmonious and efficient ecosystem.
  • Provide cover for other PAs during their leave periods.
  • Perform any other duties commensurate with the position as the Company may reasonably direct.
Skills and experience
  • Bachelor's degree or above
  • 2-3 years of working experience in a similar role
  • A good team-player, responsible, discreet with meticulous attention to detail and the ability to plan proactively
  • Excellent organisational skills, demonstrated independence and the ability to make decisions in fast-paced, high-stakes situations
  • Strong verbal and written communication skills
  • Working proficiency in Mandarin/Cantonese desirable
