Job Description

JOB TITLE: Personal Assistant / FOH - Graduate

JOB TYPE: Permanent, full time

HOURS: 08:00am - 17:00pm (early finishes on Friday)

SALARY: £32,000 - £38,000

LOCATION: Central London

Duties:
  • Act as the primary point of contact for the Director, managing diaries, scheduling meetings, and coordinating internal and external appointments.
  • Handle calls, emails, and correspondence on behalf of the Director, prioritising urgent matters and maintaining confidentiality.
  • Support the Director's private company by scheduling maintenance, repairs, and other operational tasks for their property portfolio.
  • Welcome and greet visitors, directing them to meeting rooms or the relevant staff member.
  • Answer a high volume of phone calls and take accurate messages.
  • Organise refreshments, lunches, and taxis for visiting clients and monthly partner meetings.
  • Coordinate and manage meetings and the conference room schedule to prevent duplicate bookings.
  • Respond to emails and prepare documents, including office correspondence and memos.
  • Assist with administration for the projects team.
  • Maintain general office, client, and supplier files and other office-related records.
  • Assist with procurement of office services, supplies and equipment.
  • Assist with the maintenance of office facilities and equipment.
  • Assist the Office Manager in coordinating and overseeing the smooth running of the office.
  • Provide light marketing and communications support, including helping to keep company information and marketing materials up to date.
  • Assist with social media and website updates, coordinating content and making minor amendments where required.
  • Help prepare marketing materials, presentations, newsletters and client communications.
  • Support the organisation of client events, networking opportunities and company socials, including coordinating invitations, venues and catering.
  • Assist with maintaining marketing databases, contact lists and CRM records, ensuring information is accurate and up to date.
  • Help coordinate branded materials, promotional items and other marketing collateral.
  • Assist with ad hoc projects around the office.
Experience, knowledge and skills required:
  • Experienced working within an office environment providing administrative support to Director/Directors.
  • Previous experience within a professional office environment.
  • An interest in or some exposure to marketing, communications or social media would be advantageous.
  • Professional and polite.
  • Excellent Microsoft Office skills.
  • Excellent communication skills, written and spoken.
  • Ability to prioritise tasks in a busy work environment.
  • Proven ability to take initiative.
  • Able to work independently.
  • Strong attention to detail and organisational skills.
