Personal Assistant- Maternity Cover FTC
  • Full time (37 hours per week)
  • Starting salary will be £26,276 per annum

We're looking for a highly organised, proactive and adaptable Personal Assistant to provide exceptional support to an Executive Director and members of our Senior Leadership Group (SLG).

This is far more than a traditional PA role. You'll be a trusted partner, ensuring senior leaders can focus on delivering strategic priorities by expertly managing diaries, communications, meetings, information and relationships across the organisation.

Working as part of a collaborative PA team, you'll help deliver a seamless, high-quality service that reflects our commitment to customer excellence, continuous improvement and professional stakeholder management.

What You'll Be Doing

As a key member of the team, you'll:

  • Manage complex diaries and schedules across multiple calendars
  • Act as a trusted gatekeeper, prioritising requests and escalating issues where appropriate
  • Manage busy inboxes, ensuring communications and actions are dealt with efficiently
  • Coordinate meetings from start to finish, including agendas, papers, logistics, minute taking and follow-up actions
  • Prepare reports, presentations and briefing papers
  • Support travel, event and accommodation arrangements
  • Build strong working relationships with colleagues, external partners and stakeholders
  • Handle confidential and sensitive information with discretion and professionalism
  • Maintain effective digital filing and document management systems using platforms such as SharePoint and OneDrive
  • Support recruitment and people processes relating to senior roles
  • Work flexibly across the PA team, providing cover and support to colleagues when required
  • Anticipate leadership team needs and proactively resolve issues before they arise

Essential Experience
  • Experience working in a professional office environment supporting senior managers or leadership teams
  • Strong diary and inbox management skills
  • Experience coordinating meetings, preparing agendas and papers, taking minutes and tracking actions
  • Experience building effective relationships with internal and external stakeholders
  • Experience handling confidential information appropriately
Essential Skills & Knowledge
  • Excellent organisational and time management skills
  • Strong written and verbal communication skills
  • Ability to prioritise competing demands and meet deadlines
  • Confidence using Microsoft Office applications
  • Understanding of confidentiality, data protection and information governance principles

Work4 pilot

We are currently running a pilot of working a 4-day week (4DW). This is extended until end of October 2026. The pilot will then be reviewed by our board, before making a decision to extend or be made permanent.
