Job Description

The People & Culture Administrator (P&C Administrator) plays a key role in supporting the smooth running of core people processes across the organisation. Working closely with the wider People & Culture team, this role is primarily focused on providing reliable, high-quality administrative support across the full employee lifecycle.

This is a hands-on, process-focused role that involves the consistent and accurate delivery of recurring administrative tasks. The Administrator is responsible for maintaining accurate records, processing documents, and ensuring the timely execution of key P&C activities such as onboarding, offboarding, absence recording, and data management. The role is integral to ensuring that processes are compliant, efficient, and deliver a great colleague experience.

Responsibilities Onboarding & Off-boarding
  • Coordinate and support the effective onboarding of new hires across all business areas, including preparing documentation and completing administrative tasks related to inductions.
  • Ensure that all current databases and spreadsheets used in the reporting of P&C data for new starters, movers and leavers are accurate and maintained.
  • Organise and update electronic P&C files and records, ensuring individual colleague files are accurate and well-maintained.
  • Enter and verify colleague data in the P&C system to ensure accuracy for both new joiners and existing staff.
  • Monitor probation periods, draft confirmation letters, and elevate cases as appropriate to the P&C Advisors or and Business Partners.
  • Conduct catch-up meetings with new starters, communicating feedback accordingly to the P&C Advisors or and Business Partners.
  • Managing the off-boarding process, drafting resignation acceptance letters, updating off-boarding records accordingly, and ensuring exit interviews are conducted.
Service Support
  • Maintain and regularly update employee records within the P&C system.
  • Respond to employee queries across various stages of the employment lifecycle.
  • Support absence management by recording all absences accurately in the system.
  • Provide administrative support for daily P&C operations and ad hoc projects.
  • Manage employment references efficiently, ensuring service levels are met.
  • Monitor HR Inbox and elevate colleagues' emails to the relevant P&C team member.
  • Embody and promote the organisation's Vision, Purpose, Values, and Personalities in all activities.
