The post holder will be responsible for their own workload and where identified work for a specific waiting list speciality or a specific Consultants waiting list. The post holder will ensure they identify problems arising during course of their daily duties arising from the management of the Theatre Lists and Waiting List.

Shift patterns: 9am- 5pm and 10am - 6pm (alternative shift patterns)

Main duties of the job
  • To Provide an administration and operational booking services for Elective Surgery Admissions booked by the Patient Services Department.
  • To manage and maintain the Trust Surgery Waiting list and Theatre Lists.
  • To assist and support the Team Leader in the Day to Day Management of the Department, and to escalate and issues and concerns during the booking of the Theatre List and management of the Waiting List.
  • The Post holder will ensure that all patients have been approved for surgery before arranging an admission date .
  • The Post Holder must have the ability to deal effectively with difficult conversations in particular when having to cancel patients scheduled admissions at short notice and on the day.
  • Attention to detail is an important part of this role, and you need to be able to organise your working day effectively, and to be able to work without direct supervision following a successful probation period.
  • The Post holder will ensure that they undertaken validation of the waiting on a regular basis.

Job responsibilities
  • Prepare theatre lists and admissions for individual Consultants.
  • Patients should be identified from the waiting list reports and taking into account the priority of the patient identify the suitability of the case-mix for Consultants, Registrars or other members of the team to perform an operation or procedure.
  • Complete a working sheet for all admissions and then input the details onto the computerised Lorenzo and ORMIS system.
  • Input waiting list details using the Lorenzo computer system, from the electronic booking forms from outpatient clinics and various other departments and sources.
  • Ensure that patients received an online assessment request so that this can be completed prior to a pre-op appointment being made.
  • For those patients who are unable to complete an online assessment ensure that a 1 - 1 telephone call is made by the Pre op co ordinator.
  • To support in the management of all the trust waiting list to enable all set targets are met and patient pathways to treatment are managed to prevent unnecessary delays.

Person Specification Experience and Knowledge
  • Minimum 2 years administrative experience
  • Knowledge of patient pathways
  • Experience of autonomous working
  • Experience in working within healthcare setting
  • Working knowledge of medical terminology
Qualification(s) and Professional Training
  • 4 GCSEs at grade C or above (must include Maths and English) or equivalent
  • Willing to complete learning/training courses appropriate to the development of the role
  • CLAIT, ECDL, NVQ Business Admin /Customer Services Skills Level 2 or equivalent
Skills and Abilities
  • Excellent attention to detail
  • Use of computer systems with a high standard of data entry quality.
  • Able to work without direct supervision and on own initiative
  • Ability to Multi-task, and adapt to changing needs quickly and efficiently

  • Capable of responding to requests and flexibility to changing requirements
