We are seeking a motivated and organised Paediatric Administrative Assistant to provide essential support to our Community Paediatric Service. Working as part of a multi disciplinary team, you will contribute to the delivery of high quality administrative support across the Cwm Taf Morgannwg University Health Board area, working closely with partner agencies.
You will support community paediatric secretaries in delivering a comprehensive and confidential administrative service, ensuring effective coordination of information and communication within the team. Your role will be key in helping patients and families experience a smooth and efficient service.
The post requires strong organisational and typing skills, with the ability to follow established systems, procedures and policies. You will ensure accurate documentation and timely communication at all times.
The ideal candidate will be professional, reliable and able to work effectively as part of a team while managing their own workload. Strong attention to detail, excellent communication skills and a commitment to maintaining confidentiality are essential for success in this role.
This is a fixed term secondment for 12 months from start date to cover a secondment. If you are interested in applying for it as a secondment, please obtain permission from your current line manager prior to applying.
Responsibilities- Routine typing and audio transcription of clinical correspondence.
- Support the administrative needs of the multi disciplinary paediatric team.
- Develop and organise clinical activity and appointments.
- Liaise with patients, families, general practitioners, and other referrers and partners to provide assessment, diagnosis, treatment and care.
- Follow appropriate systems and processes while adhering to Health Board policies and procedures.
- Support the development and maintenance of IT systems and databases and provide up to date analysis of data from the system.
Welsh skills are desirable. The position does not require fluency but speaking and listening skills at Level 3 (CEFR B2) or above are considered an advantage during short listing.

- RSA/OCR Stage III or equivalent experience in word processing. Good standard of education. Understanding of some medical terminology.
- Good knowledge of medical terminology.
- Previous experience in an administrative role and working with multi disciplinary colleagues in a busy environment.
- Previous NHS/Health care environment experience.
- Ability to work on own initiative and as part of a team, meeting deadlines and setting priorities.
- Advanced keyboard skills.
- Experience with Microsoft Office package.
- Excellent communication, interpersonal, and organisational skills.
- Good telephone manner; ability to take and transcribe minutes.
- Knowledge of a variety of IT systems; understanding of Microsoft Office software packages; setting up new office systems.
- Ability to work on own initiative and as part of a team.
- Adaptable to change.
- Effective communicator; organised, methodical, empathetic, understanding and sympathetic toward families and their children.
- Welsh language skills in speaking/listening at Level 3 or above.
- Reliability with a flexible approach to work.
- Ability to work across a number of internal and external venues across the UHB area.
